Executive Assistant - Darling Ingredients Inc.

Job Summary

The Executive Assistant provides secretarial and executive support to the Executive Vice President and all other Executives as necessary. In addition, secretarial support will be provided to other personnel within in the company as needed.

Essential Duties/Responsibilities

• Perform a variety of Executive support tasks that may be highly confidential and sensitive in nature.
• Coordinate all activities/meetings for Executive staff.
• Receive and screen incoming phone calls and visitors; alert Executive staff accordingly.
• Distribute incoming and outgoing mail and faxes for Executive staff.
• Plan and coordinate arrangements for various General Manager, District Manager and VP and meetings. Coordinate all company aircraft, commercial travel and hotel arrangements for the Executive staff
• Coordinate all company aircraft, commercial travel and hotel arrangements for the Executive staff
• Arrange domestic and international travel and maintain all travel records for the Executive staff.
• Coordinate Executive staff calendar as needed, arranging appointments and meetings.
• All other duties as assigned by management.

Minimum Qualifications

• High school diploma or equivalent required.

Preferred Qualifications

• 2 years of experience working in Executive Staff functions preferred.
• Ability to maintain confidentiality at all times.
• Work well with others in a team environment.
• Highly organized; able to prioritize tasks by importance.
• Ability to multi-task while reporting to several top executives.
• Knowledge of proper etiquette in receiving callers, visitors, making appointments and using diplomacy and discretion when giving out information.
• Ability to type, use email, MS Word and Excel.
• Must be flexible; adaptable to change; maintain composure during stressful situations.
• Exceptional communication skills both written and oral.
• Self-motivated; self-starter; conscientious; good work ethic.
• Ability to interact with all company personnel as well as outside clients, customers, and vendors.

Physical Demands

• Frequently must sit for extended periods.
• Occasionally walk, bend, balance, or stoop.
• Regularly required to reach with hands or arms.

Work Environment

• Job functions will be carried out in an office environment.
