Job Summary:
The Executive Assistant plays a critical role in providing high-level administrative support to executives, ensuring smooth and efficient operation of the executive's office. This role involves managing and maintaining executive schedules, handling correspondence, organizing meetings, and performing general office duties. The ideal candidate will demonstrate exceptional organizational skills, professionalism, and the ability to manage multiple tasks efficiently while maintaining confidentiality.
Key Responsibilities:
- Organize and maintain executives' schedules, including meetings, appointments, and travel arrangements.
- Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution. Open, sort, and distribute incoming correspondence, including faxes and email.
- File and retrieve corporate documents, records, and reports. Prepare invoices, reports, memos, letters, financial statements, and other documents using word processing, spreadsheet, database, and presentation software.
- Greet visitors, determine whether they should be given access to specific individuals, and provide appropriate assistance.
- Prepare agendas, make arrangements for committee, board, and other meetings. Attend meetings to record minutes, compile, transcribe, and distribute minutes of meetings.
- Make travel arrangements for executives, including booking flights, accommodations, and transportation.
- Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees, and boards of directors.
- Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work. Coordinate and direct office services, such as records and budget preparation, personnel, and housekeeping.
- Set up and oversee administrative policies and procedures for offices and/or organizations. Review operating practices and procedures to determine potential improvements.
- Supervise and train other clerical staff. Interpret administrative and operating policies and procedures for employees.
- Anticipate and understand customer needs, offering innovative solutions to ensure satisfaction and drive results.
Required Skills and Capabilities:
- Ability to interact effectively with individuals at various organizational levels, including leadership and individual contributors.
- Strong skills in managing multiple tasks and responsibilities simultaneously, prioritizing and meeting deadlines efficiently.
- Excellent communication skills, both written and verbal, to convey information clearly, professionally, and accurately.
- Ability to proactively identify opportunities for process improvements and enhance productivity and effectiveness.
- Proficiency in Microsoft Office (PowerPoint, Excel, Outlook, Word) and familiarity with platforms such as SharePoint, SAP, Ariba, and Concur.
- Strong focus on understanding and anticipating customer needs to provide exceptional support.
- Ability to handle highly confidential information with discretion and professionalism.
- Demonstrated curiosity and desire to understand the business, contributing to effective support and alignment with organizational goals.
Education and Experience:
- High school diploma or equivalent required; associate or bachelor’s degree preferred.
- Proven experience as an Executive Assistant or similar administrative role; experience supporting senior executives is highly desirable.
Compensation:
The pay rate range above is the base hourly pay range that Aditi Consulting reasonably expects to pay someone for this position (compensation may vary outside of this range depending on a number of factors, including but not limited to, a candidate’s qualifications, skills, competencies, experience, location and end client requirements).
