We are seeking an Executive Assistant II who will have a split role, balancing duties as a Project Manager and Executive Assistant. You will support a high-level executive within a fast-paced software networking organization, managing calendars, communications, meetings, travel, and expenses. The role requires strong business acumen and the ability to streamline employee engagement and manage logistical aspects of large events.
Responsibilities
+ Effectively manage executive's calendar, ensuring smooth scheduling and prioritization
+ Coordinate and streamline employee engagement initiatives, including bi-weekly or monthly happy hours for 500 employees
+ Assist with meeting preparations, travel arrangements, and expense management
+ Serve as a liaison for the executive, handling communications and logistics
+ Manage space management and auditing projects
+ Work closely with documentation owners and other stakeholders to ensure smooth operations
Essential Skills
+ Proven experience in effective calendar management, preferably in a fast-paced engineering environment
+ Strong project management skills
+ Demonstrated business acumen
+ Proficiency in Microsoft Office Suite
+ Experience with program management
+ Ability to handle travel and expense management
Additional Skills & Qualifications
+ Minimum of 2 years of experience as an Executive Assistant
+ Experience in tech companies preferred
+ Flexible with a Bachelor's degree (nice to have but not required)
+ Ability to adapt to constant calendar changes and competing priorities
+ Comfortable working in an ambiguous environment
Work Environment
The work environment is dynamic and fast-paced, typical of a software networking organization. The role involves managing logistics for large-scale employee engagement events, coordinating travel between San Jose and Seattle, and handling various administrative tasks. Flexibility and adaptability are key, as the organization is still building its business rhythm.
Pay and Benefits
The pay range for this position is $29.00 - $30.00
