Responsibilities:
Sets day-to-day direction to support CEO
Schedule appointments and coordinate calendars (business and personal)
Screen incoming calls for CEO and determine the level of priority, involving significant interaction with vendors, clients and senior team members
Manage email correspondence and phone messages
Manage travel arrangements for CEO, coordination of flights, accommodation, and ground transportation logistics, including business travel and personal.
Schedule and arrange meetings, compile and distribute materials, prepare meeting minutes, and maintain corporate documents, including Quarterly Board meeting
Organize vendor meetings and speaking engagements
Management of expense processing, reimbursement, personal amounts owing, and account reconciliations.
Manage multiple bank accounts and credit cards and process payments
Coordinate tax filings with accountant
Manage Company tickets for rodeo, baseball games, football games, etc.
Shopping and errands
Hire and manage staff and coordinate communication with staff for offsite property
Buy gifts, send holiday cards
Plan large events or assist with planning family events
Research, hire, and supervise vendors and contractors for home projects, as needed in conjunction with Maintenance staff
Ensure the routine maintenance of homes and vehicles
Keep the CEO updated on progress of projects
Manage philanthropic interests
Qualifications of the Executive/Personal Assistant, include but are not limited to:
Ten years of experience supporting C-suite executives, CEO PA preferred.
Extremely proficient with Microsoft Office Suite; MS Word, Excel, and Power Point.
Knowledge in General Accounting principles preferred.
Excellent verbal and written communication skills, excellent telephone etiquette.
Professional and tactful interpersonal skills with the ability to interact with a variety of personalities.
Strong leadership and supervisory skills.
Excellent organizational skills and attention to detail.
Excellent time management skills with proven ability to meet deadlines.
Tact and good judgment in confidential situations and previous experience interacting with C-suite executives.
Education: Bachelor's Degree preferred
