About the Job
- Schedule Management: Efficiently manage the President's calendar, including scheduling and coordinating meetings, appointments, and travel arrangements.
- Meeting Coordination: Prepare agendas, compile necessary digital materials, and ensure timely communication and follow-up for all meetings. Attend meetings as needed to take minutes and provide summaries.
- Organizational Support: Maintain an organized system for tracking tasks, projects, emails and other communications. Assist with prioritizing and managing daily activities.
- Confidentiality: Handle sensitive information with the highest level of discretion and confidentiality. Ensure all business matters are managed securely.
- Communication: Serve as the primary point of contact for the internal administrative team, providing communication on matters pertaining to the President. Draft and manage email correspondence, reports, and presentations.
- Administrative Tasks: Perform general administrative duties, including filing and data entry, and. Support other executive team members as needed.
- Problem Solving: Anticipate the needs of the President and proactively address potential issues. Provide solutions to improve efficiency and effectiveness.
- Experience: Minimum of 3-5 years of experience as an Executive Assistant, preferably with C-suite level executives.
- Education: Bachelor's degree in business administration, Management, or a related field preferred.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- High level of discretion and confidentiality.
- Ability to work independently and as part of a team.
- Excellent problem-solving and decision-making capabilities.

- the individual’s skill sets, experience and training;

With that said, as required by local law, Vaco believes that the following salary range referenced above reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure. The individual may also be eligible for discretionary bonuses.
