We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our Deputy Program Manager and assist in financial and program operations. This is not your typical administrative role—this position requires a go-getter with exceptional multitasking skills who can manage schedules, coordinate meetings, track finances, and ensure the seamless execution of daily activities.
This role is on-site in Herndon.
What you get to do.
•Manage the Deputy Program Manager's calendar, schedule meetings, and ensure proper prioritization of tasks.
•Act as the primary point of contact for internal and external communications on behalf of the Deputy Program Manager.
•Prepare meeting agendas, take minutes, and track action items to ensure timely follow-ups.
•Assist in planning and coordinating program-related activities, ensuring deadlines are met.
•Maintain program documentation, including reports, schedules, and key deliverables.
•Monitor program workflows and identify opportunities for process improvements.
•Support budget tracking and financial reporting.
•Assist in preparing and submitting invoices, expense reports, and financial forecasts.
•Collaborate with the finance team to reconcile accounts and track program expenditures.
•Coordinate cross-functional team activities and ensure alignment with program objectives.
•Maintain detailed project timelines and provide regular updates to leadership.
•Help manage risk assessments and mitigation strategies.
Required Qualifications.
•Bachelor's degree in Business Administration, Management, or a related field preferred.
•Active TS/SCI clearance with eligibility to obtain and maintain a CI Poly.
•Minimum five (5) + years of experience as an Executive Assistant, Project Coordinator, or in a similar role.
•Experience supporting senior leadership in a program or finance-driven environment.
•Exceptional organizational and time management skills with the ability to manage multiple priorities.
•Strong verbal and written communication skills.
•Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management tools (e.g., Trello, Asana).
•Basic understanding of financial tracking and reporting.
•Ability to take initiative and work independently with minimal supervision.
Preferred Qualifications.
•Experience in a government contracting or program management environment.
•Familiarity with budgeting software and financial tools.
