Position Overview:

We are seeking a highly organized and proactive Executive Assistant to support our senior executive team. The ideal candidate will be a strategic partner, adept at managing a wide range of administrative and executive support tasks, while maintaining confidentiality and professionalism. This role requires exceptional organizational skills, attention to detail, and the ability to thrive in a fast-paced environment.

Key Responsibilities:

1. Administrative Support:
2. Manage and maintain executives' schedules, including coordinating meetings, appointments, and travel arrangements.
3. Screen and prioritize emails, calls, and other communications, ensuring timely responses and follow-ups.
4. Prepare and edit correspondence, reports, presentations, and other documents as needed.
5. Meeting Coordination:
6. Schedule, plan, and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
7. Serve as a liaison between the executive team and internal/external stakeholders.
8. Project Management:
9. Assist with planning, coordinating, and executing special projects and initiatives.
10. Conduct research and compile data for decision-making and presentations.
11. Travel and Expense Management:
12. Arrange complex domestic and international travel itineraries, including accommodations and logistics.
13. Process and reconcile expense reports in compliance with company policies.
14. Office Operations:
15. Manage office supplies and ensure the executive's workspace operates efficiently.
16. Handle sensitive information with discretion and professionalism.

Qualifications:

• Proven experience as an Executive Assistant or in a similar administrative role.
• Exceptional organizational and time management skills.
• Strong written and verbal communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
• Ability to work independently and make informed decisions.
• High level of professionalism and discretion in handling confidential information.
• Bachelor's degree or equivalent experience preferred.
