Executive Assistant - Boston, MA - Private Equity

A leading Boston based private equity firm is looking to hire an Executive Assistant to support the two Managing Partners as well as a Managing Director. This is a newly created position due to the growth of the company!

Key Responsibilities:

• Provide MS Outlook calendar management and be the main point of contact for scheduling. Prioritize inquiries and requests while troubleshooting conflicts; make recommendations to ensure smooth day to day engagements

• Manage and be responsible for telephone, MS Teams and email communications with both internal and external parties in a professional manner; including clients and prospective clients

• Coordinate and book travel arrangements by working with corporate travel agent

• Prepare travel and business expense reports

• Prepare marketing books for potential client meetings

• Assist with other special projects from time to time

• Assist with office meetings including booking and preparing conference rooms, ordering food and refreshments, as well as greeting guests

• Open, sort, and distribute incoming mail and oversea outgoing mail/deliveries

• Replenish office supplies

• Manage and track all expenses incurred on Boston corporate credit cards

• Assist with quarterly Boston office offsites

• Adapts easily to a fast-paced environment, team player with excellent written and oral communication skills

• Ability to multitask 

• Forward thinking and highly professional demeanor with the ability to effectively communicate with individuals at various organizational levels

• Diplomacy, unquestionable integrity and ethics 

Education/Experience:

• BA/BS or equivalent  

• 2+ years executive assistant experience 

• Experience supporting Senior Management
