The Executive Assistant supports the Division President and other members of the South Division senior leadership team.
- Calendar management: Effectively manage calendars by scheduling meetings, appointments, and events, ensuring time is allocated efficiently.
- Communication management: Screen calls, respond to emails, and handle correspondence, prioritizing urgent matters.
- Travel arrangements: Organize travel logistics including booking flights, accommodations, and ground transportation.
- Meeting coordination: Prepare meeting agendas, distribute materials, take minutes, and follow up on action items. Meeting support may require occasional travel.
- Document preparation: Draft reports, presentations, letters, and other documents as needed.
- Expense reporting: Track and submit expense reports.
- Office management: Manage office supplies, coordinate office services, and maintain filing systems.
- Confidentiality: Maintain discretion when handling sensitive information.
- Branch/Facility Support: May occasionally support local team /facility needs.
- May occasionally have to work weekends, early mornings, and late nights with occasional travel.
- Performs other related and additional duties as assigned.
- High school diploma required, Bachelor’s degree in Business Administration or related field preferred.
- At least four years of related experience required.
- Excellent communication skills: Both written and verbal, with the ability to interact effectively with internal and external stakeholders.
- Strong time management and organizational skills: Ability to prioritize tasks, manage multiple projects/tasks simultaneously, and proven ability to meet deadlines.
- Ability to function well in a high-paced and at times stressful environment.
- Time management skills: Effectively manage personal workload and assigned executives’ schedules.
- Attention to detail: Ensure accuracy in all tasks and deliverables.
- Discretion and confidentiality: Ability to handle sensitive information with utmost privacy.
- Proficiency in Microsoft Office Suite: Expertise in Word, Excel, PowerPoint, and Outlook with the ability to learn new or updated software.
- Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
- Able to type minimum of 50 words per minute.
