- Schedule: Monday - Friday, 9:00 AM to 6:00 PM (1-hour lunch)

- We are assisting one of our amazing clients with looking for a Top Tier Executive Assistant for a fast-paced Management and Construction company based in Fort Lee, New Jersey. We are dedicated to delivering quality projects and exceptional service to our clients. We are currently seeking a motivated and organized Executive Assistant to support the owner in managing day-to-day operations and ensuring the smooth functioning of the office.
- Key Responsibilities:
- Administrative Support: Act as the primary point of contact for the owner, managing daily schedules, appointments, and emails.
- Travel Coordination: Arrange and coordinate travel plans, including flights, accommodations, and itineraries.
- Document Management: Prepare, proofread, and manage various documents and reports.
- QuickBooks (Preferred): Assist with financial tasks, such as invoice processing and expense reporting.
- Microsoft Office & Excel: Create, edit, and manage documents, spreadsheets, and presentations.
- Meeting Support: Schedule meetings, prepare agendas, and take detailed minutes as required.
- Office Coordination: Manage office supplies, ensure timely communication with vendors, and oversee general office organization.
- Communication Liaison: Serve as a reliable link between the owner and employees, clients, and external stakeholders.
- Requirements:
- Proven experience as an Executive Assistant, Administrative Assistant, or similar role, preferably in management or construction industries.
- Proficiency in Microsoft Office Suite, especially Word and Excel.
- Experience with QuickBooks is highly desirable.
- Excellent organizational and multitasking abilities.
- Strong communication skills (both written and verbal).
- Ability to maintain confidentiality and handle sensitive information with professionalism.
- Detail-oriented and capable of prioritizing tasks under pressure.
- Flexibility and adaptability to meet dynamic business needs.
