An exciting opportunity has arisen for an exceptional and experienced Executive Assistant to support the Divisional President of the Maximus UK, based in Russell Square, London.
A key support role providing proactive and efficient professional administrative and support services to the UK Divisional President and UK HR & Support Services Director. To act as the point of contact among internal and external key stakeholders, managing information flow in a timely manner with accuracy to support the smooth and efficient running of Maximus UK.
- Management and co-ordination UK Divisional President and UK HR & Support Services Director electronic diaries/ schedules to utilise time to the best advantage. Including but not limited to management of e-mails and associate correspondences, prioritising requests and redirecting as required, personal appointments together with screening of internal and external calls with accurate relay of important messages.
- Arrangement of key business meetings and or events, including venue booking, travel arrangement and other key logistics for key stakeholders to ensure the smooth facilitation of such events.
- Attendance at senior leadership meetings collating meeting minutes and agreed actions. Management and prompt circulation of meeting documentation relative to areas of responsibility, including but not limited to minutes, agendas, collation of associated important documentation, tracking and coordination of agreed actions together with preparing well-presented and concise reports, PowerPoint presentations and other documentations as requested.
- Management of programme deadlines on behalf of UK Divisional President and UK HR & Support Services Director. Ensuring key programmes of work remain on track, reporting progress to UK Divisional President and UK HR & Support Services Director.
- Support UK Divisional President and UK HR & Support Services Director with travel/hotel arrangements. Prepare, process and track travel expenses together with submission of monthly expense reports.
- Liaise closely with the wider leadership team to identify highly sensitive, contentious and important matters ensuring that the UK Divisional President and UK HR & Support Services Director always remain briefed and up to date.Develop a network of key relationships both within and outside of Maximus to help facilitate the performance of the wider UK Leadership Team.
- Any other duty as required by the line manager commensurate with the nature, level and scope of the job.

Qualifications & Experience
- Experience as an Executive Assistant at C-Level, providing support at a senior executive level in a complex environment.
- Extensive experience of email systems and diary management for multiple stakeholders.
- Experience of working with databases and collating large amounts of data.
- Strong IT skills, with advanced knowledge of MS Office suite and email management.
- GCSE level grades or equivalent including Maths and English as subjects.

- Significant proven experience as an Executive Assistant at C-Level, providing support at a senior executive level in a complex environment.
