Title: Senior Executive Assistant
Location: Detroit, MI
Duration: 3 Months plus
Job Title: Executive Assistant
Key Responsibilities:
- Calendar Management: Organize and manage complex calendars, scheduling appointments, meetings, and events for executive leadership.
- Expense & Payables Processing: Ensure completeness of documents, enter data into the system, and follow items through the approvals process to ensure proper channels are followed.
- Committee Meeting Coordination: Oversee the scheduling of committee meetings and ensure all necessary logistics and preparations are in place.
- Communication: Screen telephone calls and visitors, resolving inquiries or directing them to the appropriate personnel. Compose and edit business correspondence.
- Confidentiality: Maintain a high level of discretion and confidentiality when handling sensitive information.
- General Administrative Duties: Handle a variety of administrative tasks such as preparing professional documents, presentations, and reports; assisting with budget and statistical data.
Required Skills & Experience:
- Experience:
- A minimum of 5 years of progressively responsible secretarial experience.
- At least 2 years working as a secretary to senior-level management.
- Technical Skills:
- Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other business software.
- Basic mathematical skills for budget and statistical data handling.
- Typing speed and accuracy, with the ability to compose and proofread business correspondence.
- Communication & Interpersonal Skills:
- Strong interpersonal and communication skills for interacting with leadership and various levels of personnel.
- Ability to handle multiple tasks simultaneously and prioritize accordingly.
- Attention to Detail:
- Exceptional focus on details and error-free work.
- Confidentiality:
- Ability to maintain a high level of confidentiality and discretion.
- Independent Work & Multi-tasking:
- Capability to manage multiple assignments independently, ensuring deadlines are met.
Required Education:
- High School Diploma or G.E.D. equivalent.
Preferred Education & Experience:
- Associate’s Degree in business or secretarial studies from a business school or college.
- Experience with PeopleSoft program.
- Experience using MS Teams.
- Experience in the medical office space.
Work Schedule:
- Contract Duration: 13-week contract with potential for extension or conversion based on performance and business needs.
- Location: On-site initially, transitioning to hybrid schedule as familiarity with company programs and procedures increases.
- Additional Requirements: Local candidates only.
Additional Information:
- The candidate will work closely with four executive-level managers, supported by another executive assistant.
- The candidate must be able to function independently and manage multiple tasks simultaneously while interacting with various levels of leadership.
Salary
25 - 30 /hour
