Reporting to the Chief Operating Officer, this position provides administrative and business (back office) support to the Executive Staff. This includes preparing analytical reports and internal and external communication. Maintains calendars and schedules appointments. This position will also serve as backup for Prequalification Coordinator and Project Administrator roles when needed due to time off absences and when workflow needs dictate additional support.
EXECUTIVE ASSISTANT REQUIREMENTS:
- Five years of executive administrative experience or ten years of demonstrated career progression in an administrative role, preferably in the AEC industry.
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiar with Microsoft Teams
- Ability to work independently and as part of a team.
- High level of attention to detail and accuracy.
- Discretion and confidentiality in handling sensitive information

EXECUTIVE ASSISTANT RESPONSIBILITIES:
- Provide comprehensive administrative support to multiple executives, including managing calendars, scheduling meetings, and handling correspondence.
- Assist with project administration tasks, such as preparing documents, tracking project timelines, and coordinating with project teams.
- Serve as a backup for the Prequalification Coordinator, assisting with the prequalification process for subcontractors and vendors.
- Serve as a backup for the Project Administrator's, assisting with specific Projects when workflow needs dictate additional support
- Organize and maintain files, records, and documentation.
- Prepare reports, presentations, and other materials as needed.
- Plan company events with the assistance of others.
- Prepare internal and external company communication for the review and approval of Executive Staff.
- Assist with preparing workforce planning reports.
- Coordinate travel arrangements and itineraries for executives.
- Handle confidential information with discretion and professionalism.
- Perform other administrative duties as assigned.
Note: Initial Assignment upon hire will involve training with Prequalification Coordinator to learn and understand Pinkard Prequalification process and Pantera software for a period of 4-6 weeks and administer PQ process for +/- 12 weeks to cover maternity leave of absence for the Prequalification Coordinator.
EXECUTIVE ASSISTANT PREFERRED SKILLS:
- Familiarity with project management software and tools.
- Experience in project administration within the construction industry.
- Knowledge of the prequalification process for subcontractors and vendors.
- Experience in a professional environment, supporting multiple executives or a team.
EXECUTIVE ASSISTANT COMPENSATION:
In accordance with the Colorado Equal Pay for Equal Work Act the salary range for this position will be $75,000 - $100,000 + Profit Sharing. Actual base pay within this range will be determined by several components including, but not limited to, relevant experience, internal equity, skills, qualifications, and other job-related factors permitted by law.
