Are you a seasoned, precise Executive Assistant who can help our CEO focus and be his gatekeeper? The company is searching for our next teammate who can help administratively support the CEO and hold his team accountable for accelerated performance.

The expectation for each employee is to provide the highest quality product to our customers in the aerospace, oil & gas, defense, industrial, and telecom industries. Our second-generation CEO was raised in this family business. He proudly carries his parents' legacy toward the future in both the U.S. and Malaysia operations.
We are looking for an Executive Assistant with the following qualities:
- Seasoned Executive Assistant: You must have a minimum of 5+ years of experience as an Executive Assistant who can serve with patience and excellence.
- Confident Gatekeeper and Communicator: Managing the CEO's time and handling follow-up/action items after meetings are the largest components of this role. You must confidently prioritize, organize, and project manage our CEO's communication channels with integrity and confidentiality.
- Creative Data Analyst: We need someone proficient in using Excel for data analysis and who has a bit of marketing administration experience too. Your eye for detail is important so, when you apply, mark your resume and cover letter on top in green with the secret attention grabber line: "PRECISION" to stand out from the crowd.

Your responsibilities (when full-time) will include, but are not limited to:
Executive Support:
- Manage and maintain the executive's calendar by scheduling meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Handle incoming and outgoing communications including emails, phone calls, and mail.
- Organize and maintain files and records, ensuring the confidentiality and security of sensitive information.
- Handle sensitive, personal family business matters with care.
Meeting Coordination:
- Coordinate and prepare for meetings by setting agendas, recording KPIs, and following up on action items.
- Arrange logistics for meetings, conferences, and events (both on-site and off-site).
Travel Management:
- Arrange domestic and international travel including flights, accommodation, and transportation.
- Prepare travel itineraries and ensure the executive is well-informed and prepared for each trip.
Liaison Role:
- Act as a point of contact between the executive and internal/external stakeholders.
- Facilitate communication and ensure timely responses to inquiries and requests.
Project Management:
- Assist with special projects and initiatives including research, data analysis, presentation building, and reporting.
- Coordinate cross-functional activities and ensure project deadlines are met.
Marketing Administration:
- Maintain the company's social media presence with consistent posts and outreach to prospects on multiple platforms.
- Create marketing collateral (pictures, Canva images, testimonial graphics, etc.).
What we offer is a professional, family-feel environment. Great benefits when working 30+ hours per week include PTO, health, dental, and vision insurance, standard holidays, and 401K. We're looking for the right person at a 35- 40 hours-per-week capacity. The full-time salary is $65,000-$75,000/year based on experience. Business hours areM-F, 8 am - 5 pm. This is an in-person role.
