We are seeking a dynamic and detail-oriented Administrative Assistant to join our Mortgage Industry team. This is a permanent position that offers an exciting opportunity to work in a fast-paced, high-energy environment. The ideal candidate will have a strong background in administrative duties, including but not limited to, booking travel, online reservations, office management, ordering supplies, organization, filing, calendar management, and proficiency in MS Office Suite and Outlook. The ability to effectively manage time, prioritize tasks, and maintain a high level of accuracy in a busy environment is crucial for this role.

Responsibilities:

Provide comprehensive administrative support to the team, including but not limited to, managing calendars, scheduling meetings, booking travel, and making online reservations.
Manage office supplies inventory and place orders as necessary.
Maintain an organized filing system for easy access and retrieval of documents.
Assist in the preparation of regularly scheduled reports using Excel.
Liaise with internal staff at all levels and interact with external clients.
Coordinate office management activities and operations to secure efficiency and compliance with company policies.
Use MS Office Suite and Outlook to create, format, and edit documents, correspondence, and presentations.
Handle confidential information in a discreet and professional manner.
Perform other duties as assigned to support the team and ensure smooth operation of the office.

Qualifications:

Minimum of 2 years of experience as an Administrative Assistant, preferably in the Mortgage industry.
Proficiency in MS Office Suite (Word, Excel, PowerPoint, and Outlook) is required.
Exceptional organizational skills and attention to detail.
Proven ability to manage calendars and coordinate travel.
Experience with online reservations and ordering supplies.
Excellent written and verbal communication skills.
Ability to multitask, prioritize, and manage time effectively.
Ability to handle sensitive information with the highest degree of integrity and confidentiality.
Self-motivated and able to work independently, but also capable of working in a team environment.
High school diploma or equivalent is required; further education in Office Administration is a plus.
