About this Role:
We are seeking a highly skilled and polished Executive Assistant to provide comprehensive support to the CEO and COO. This role requires an organized, proactive, administrative professional that is adaptable, exceptionally detail-oriented, and able to maintain a high degree of discretion in a fast-paced, dynamic environment.
What You"ll Do:
- Manage complex calendars for the CEO and COO, coordinating internal and external meetings, travel, and personal appointments with precision and efficiency. Anticipate needs, prioritize tasks, and handle confidential information with utmost discretion.
- Prepare and edit documents, reports, presentations, and correspondence for executive review and distribution.
- Organize and prepare materials for meetings, including agendas, briefing documents, and presentation materials.
- Ensure executives are fully briefed on upcoming engagements and prepared for meetings.
- Assist in the planning and execution of special projects, acting as a point of contact between the executives and various stakeholders.
- Conduct research, compile data, and present findings to support strategic decision-making.
- Oversee smaller initiatives and follow through on critical tasks that advance business priorities.
- Assist with personal appointments and tasks as needed, maintaining a balance between personal and professional demands.
- Coordinate personal and household arrangements, including travel, family engagements, and reservations.
- Arrange complex travel itineraries, including booking flights, accommodations, and transportation for both domestic and international travel.
- Ensure detailed travel schedules are provided and handle changes or issues as they arise.
What You Bring:
- Bachelor's degree preferred or equivalent work experience.
- Minimum of 8 years of executive support experience in a fast-paced, high-level professional environment, preferably in professional services.
- Exceptional organizational skills with a keen eye for detail and accuracy.
- Excellent verbal and written communication skills, with the ability to represent the executive team professionally.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with other productivity tools.
- Ability to manage multiple priorities with a proactive approach and adapt quickly to changing demands.
- Strong interpersonal skills, with the capacity to build relationships at all levels.
- Ability to maintain confidentiality and acts with integrity in all interactions.
- Identify issues and provides solutions to support seamless operations.
- Adapt to a dynamic work environment and shifts priorities as needed.
- Comfortable in executive settings and able to communicate effectively with senior stakeholders.
