We are seeking a dynamic and experienced Executive Assistant to join our Commercial Real Estate team. This role provides an exciting opportunity to work within a fast-paced and challenging environment, directly supporting senior executives. The ideal candidate will have a strong background in real estate transactions, maintaining legal documents, scheduling conference rooms, working with investors, and taking meeting notes. This position is integral to the smooth operation of our team and requires someone with exceptional organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.

Responsibilities:
1. Provide comprehensive support to senior executives, including managing schedules, coordinating meetings, and handling correspondence.
2. Manage all aspects of real estate transactions, including the preparation of contracts, negotiation of terms, and closing deals.
3. Maintain and organize legal documents, ensuring they are up-to-date, accurate, and readily accessible for the team.
4. Schedule and prepare conference rooms for meetings, presentations, and other events.
5. Act as a liaison between the executives and investors, handling inquiries and issues promptly and professionally.
6. Attend meetings, take detailed notes, and distribute minutes to all participants.
7. Assist in the preparation of reports and presentations for internal and external use.
8. Manage special projects as assigned, ensuring they are completed on time and within budget.
9. Perform other administrative duties as required to support the executives and the team.
Qualifications:
1. A minimum of 5 years of experience as an Executive Assistant, preferably within the Commercial Real Estate or Mortgage industry.
2. Proven experience in managing real estate transactions, maintaining legal documents, scheduling conference rooms, working with investors, and taking meeting notes.
3. Exceptional organizational skills, with the ability to prioritize tasks and manage time effectively.
4. Excellent communication skills, both written and verbal, with the ability to interact professionally with all levels of the organization.
5. High level of proficiency in Microsoft Office Suite, particularly Word, Excel, and PowerPoint.
6. Strong problem-solving skills, with the ability to anticipate needs and take initiative.
7. Ability to handle sensitive and confidential information with discretion.
8. Bachelor's degree in Business Administration or a related field is preferred.
