POSITION SUMMARY
The Executive Assistant provides a wide variety of administrative and staff support to the organization (Chief Executive Officer, Board Chair, and Board Committee Members) in a confidential, accurate and timely manner.
ACCOUNTABILITIES
- Prepares and produces correspondence, memos, reports, minutes, agendas, etc., for the Chief Executive Officer (CEO), officers of the board of directors, board committees, and task forces by established procedures.
- Recognizes and handles confidential matters appropriately, exercises initiative, and handles many tasks concurrently.
- Performs advanced confidential secretarial support duties requiring a broad knowledge of the organization's policies and practices.
- Contacts board committee members regarding attendance at meetings.
- Manages Board portal and all relevant information kept on the portal.
- Provide assistance at Board meetings, Board retreat, and other leadership functions as they arise.
- Manages governance and related requirements for the council in accordance with GSUSA rules.
- Assists CEO with calendar and appointment schedule.
- Answers and refers to telephone calls to ensure inquiries are answered.
- Sets priorities and procedures for accomplishing work assignments.
- Provides backup support to the front desk when necessary.
- Maintains CEO and board files, concerns, and documents with the utmost confidentiality.
- Can attend some evening events at the request of the CEO.
- Ability to serve as the liaison/right hand to the CEO when interacting with the community-at-large.
- Performs other duties as assigned by the CEO.
QUALIFICATIONS
- Bachelor's degree or equivalent experience.
- Experience in managing multiple priorities, administrative coordination, and logistics.
- Minimum three years of experience supporting senior-level management.
- Ability to work in a team environment in remote and in-person environments.
- Working knowledge of shorthand or equivalent skill.
- Ability to work a flexible schedule, including evenings.
- Proficient in Microsoft Office suite, Zoom and Teams.
- Strong written and verbal communication skills.
- Ability to provide three professional references upon request.
- Register as a Girl Scouts of Suffolk County member and keep in good standing.
- Demonstrate a commitment to the mission of the Girl Scout movement and the ability to communicate the mission to others.
