Job Description:
The HPE Global Communications organization is looking for an experienced Executive Assistant to support the Chief Marketing & Communications Officer. The Chief Marketing & Communications Officer directly reports to the company's President and Chief Executive Officer. The Executive Assistant role is a crucial role that will interact with the Executive Committee of the company and their Executive Assistants. The Executive Assistant will also interact with a variety of partners across the company including Legal, HR, and Finance. The Marketing & Communications team operates in a fast-paced, multi-disciplinary, fluid environment.
This is a San Jose, CA-based, hybrid position. The Executive Assistant is expected to be in-office when the Chief Marketing & Communications Officer is in-office.
Responsibilities:
- Perform tactical and strategic administrative support tasks for the Chief Marketing & Communications Officer and executive level leaders of the organization.
- Plan, schedule and coordinate meetings, teleconferences, videoconferences and virtual sessions.
- Establish and maintain SharePoint sites and team calendars.
- Prepare presentations using web-based applications and Microsoft Office tools.
- Lead travel planning, expense tracking and reporting for the Chief Marketing & Communications Officer. Oversee related approvals for the Marketing & Communications organization.
- Manage complex calendars, travel arrangements, budget details and more for the Chief Marketing & Communications Officer.
- Represent the Global Marketing & Communications executive and organization in a positive and professional manner to internal and external parties.
- Advanced general administrative skills/knowledge required at an upper executive level.
- Experience and ability to navigate multiple issues/projects in a collaborative fashion.
- Regarded as the key administrative employee of the division and is a primary administrative employee in the company.
- Work on assignments that are extremely complex in nature where a high degree of independent judgment, initiative and technical knowledge are required to resolve problems. Deep collaboration with the Chief of Staff and Office of the CMCO team is regularly required.
- Frequently determines methods and procedures for new assignments the drive efficacy and efficiency.
Requirements:
- Typically requires a minimum of 10+ years general administrative experience, or equivalent combination of experience and college level education.
- Advanced general administrative skills/knowledge required at an upper executive level. Prefer individual has experience supporting a senior executive.
- Exceptional organizational skills; this role requires orchestrating many diverse elements and a critical attention to deadlines and timing.
- Capable of performing complex assignments with minimal supervision.
- Has experience successfully working multiple issues/projects simultaneously.
- Superior listening and interpersonal skills. Welcomes deep collaboration.
- Advanced proficiencies with Office, including Outlook, Word, Excel, PowerPoint and SharePoint.
- Operates as an agile self-starter; able to work independently to manage diverse workload and coordinate with multiple team members in service of Chief Marketing & Communications Officer and her priorities.
- Experience submitting purchase orders and statements of work.
- Proven experience with handling confidential information with integrity.

USD Hourly: $41.35 - $95.19
