Job Description
We are seeking an experienced Executive Assistant to provide critical support to senior leadership in a fast-paced, creative environment. This role requires an organized and proactive professional who can effectively manage multiple priorities and serve as a strategic partner to executives.
Key Responsibilities
- Manage and maintain complex calendars, ensuring executives are prepared and punctual for meetings.
- Coordinate on-site and virtual meetings, including setup, materials preparation, and follow-up.
- Act as a liaison between executives, clients, and internal teams, fostering strong relationships.
- Oversee administrative tasks such as travel arrangements, expense reports, and timesheet submissions.
- Prepare professional documents, presentations, and correspondence with attention to detail.
- Support marketing initiatives and assist in maintaining CRM and contact databases.
- Handle confidential information with discretion and professionalism.
- Anticipate executive needs and proactively resolve scheduling or workflow conflicts.
Qualifications
- Bachelor’s degree preferred.
- 6+ years of experience as an Executive Assistant supporting senior leadership, preferably in architecture, design, or professional services.
- Proficiency in InDesign, Microsoft Office Suite (Word, Excel, PowerPoint), and familiarity with expense management software.
Additional Details
- Schedule: Monday-Friday, 8:30 AM - 5:30 PM (40 hours/week)
- Start Date: Targeting mid-January start.
- Contract Type: Ongoing contract with potential for permanent hire.
