Executive Assistant - Perkins Management Services Company

Perkins Management Services Company is a growing food service company and is looking for an energetic outgoing individual to join its corporate office team. We are going looking for an Executive Assistant to the Executive Vice President of PMSC. The duties of this role will include:

Roles and Responsibilities:

• Manage and maintain EVP schedules, including scheduling travel and conferences, making appointments, and making changes to appointments.
• Answering and directing calls on behalf of EVP.
• Greeting visitors and determining access to appropriate parties.
• Opening, sorting, and distributing correspondence, including email, faxes, and snail mail.
• Reading and analyzing submissions, letters, agendas, memos and determining significance on behalf of   EVP;
• Prepare reports, collect and analyze information; prepare presentations.
• Develop and utilize historical information; provide retrieval of information. Record meeting discussions and provide minutes.
• Meet with special interest groups or individuals on behalf of EVP.
• Prepare executive responses to routine memos, letters, or correspondence.
• Prepare checks for signature and review.
• Provide clerical and general office support to other offices. Delegate tasks and responsibilities to other staff members when appropriate.
• Prepare and develop a records management system; maintain and recommend changes to records system when appropriate.
• Interact with customers when appropriate and problem solve. Document complaints and develop an appropriate course of action. Report problems to EVP when they cannot be resolved for attention.
• Represents the EVP by welcoming visitors, reviewing correspondence; arranging company dinners and other corporate functions; answering questions and meeting requests directed to the EVP.
• Helps key executives make consistent decisions by advising them of historical precedents; serving as liaison between them and the EVP.
• Arranges corporate travel and meetings by developing itineraries and agendas; scheduling the corporate jet; booking other transportation; arranging lodging and meeting accommodations.
• Completes projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; making adjustments to plans.
• Improves quality results by studying, evaluating, and re-designing processes; implementing changes.
• Exploring opportunities to add value to job accomplishments.

Preferred Qualifications

• Experience in senior level administration;
• Preferred Customer Service skills
• Supervisory experience
