Our client is an established investment management firm. They are currently looking to hire an Executive Assistant to support the growing company!
Salary/Hourly Rate:
$65,000 – $70,000
Position Overview:
The Executive Assistant will be responsible for various administrative duties supporting several Boston based Executives. The Executive Assistant will work both independently and alongside a team of other Executive Assistants. The ideal candidate for this position will have 2 to 3+ years of prior experience in an administrative support role and ideally has professional services, private equity, or financial services industry experience!
Responsibilities of the Executive Assistant:
- Maintenance and management of calendars for several executives utilizing Microsoft Outlook and Teams while working closely with other Executive Assistants
- Scheduling appointments and heavy calendar management; manage a busy and ever-changing calendar, and prioritize appointments
- Arrange international and domestic travel for executives including flights, hotels, car rentals, and car services
- Preparation of all necessary meeting materials including presentations, agendas, and any other required documents
- Coordination of internal and external meetings to include room reservation, equipment set-up, catering, and meeting material preparation
- Process expense reports in compliance with firm travel policies
- Act as gatekeeper and primary point of contact between executives, managers, callers, and visitors, as required
- Occasional personal administrative work
- Ensure cleanliness and organization of all conference and copy rooms
- Order/stock supplies and groceries for kitchens, copy rooms and bathrooms
- Enter new firms, contacts, and meeting data into database
- Order bi-monthly catered lunches for the office
- Other administrative duties as required
Qualifications for the Executive Assistant:
- 2 to 3+ years of experience in an administrative support role
- Proficiency in Microsoft Office (Outlook, Word, Excel and PowerPoint)
- Excellent verbal and written communication skills
- Strong communication skills and a team player mentality
- A high degree of professionalism, initiative, and independence; excellent professional demeanor with the ability to work with a wide range of levels and management
- Comfortable working in a fast-paced environment, ability to multi-task, shift direction easily and prioritize
- Excellent time management, organizational and interpersonal skills
- Solutions oriented; resourceful, well organized, highly dependable, efficient and detail oriented
- Must be able to handle confidential information with the appropriate level of discretion
- Prior experience within private equity or financial services is preferred
Education Requirements:
- Bachelor’s degree is preferred but is not required
