WHAT WE’RE AFTER…
An established, full-service architecture, engineering and interior design firm with a corporate office environment seeks an Executive Assistant with skills to provide support to the firm leadership, clients, and other departments within the company.
Excellent communication skills and the desire to work in a collaborative, growing company, performing a variety of tasks each day is required. Candidates must be able to prioritize and execute multiple tasks with little oversight; have strong proofreading capabilities; and solve problems independently.
WHAT YOU WILL GET TO DO….
- Greet visitors to the office
- Responsible for daily and routine operation tasks in support of a neat and efficient office environment
- Answering incoming office calls, route calls
- Coordinate travel arrangements for team members
- Ability to discreetly work with confidential information, including Executive Team expense reports and reconciliation
- Assist with Leadership correspondence including formatting, outlining, and tracking changes of meeting minutes, letters, memos, forms, reports and other documents
- Assist in event planning and participating in community involvement activities on behalf of the firm, including special events, meetings, lunches (internal and external)
- Support printing, collating, and binding of documents
- Manage filing, routing and gathering signatures for general business purposes
- Receive and log all incoming packages/schedule pickups/deliveries
- Mail: Drop off mail, if any by 9:30am; Pick up and distribute mail daily
- Maintain conference rooms for group meetings, including set up and clean up; assist with individual needs of visitors
- Ordering and tracking office supplies
- Maintain, clean, stock and organize team support areas, including conference rooms, break/catering areas storage rooms and kitchen
- Other duties as assigned
WHAT YOU NEED TO BRING TO THE TABLE…

- Excellent verbal, written and interpersonal communication skills
- Good organizational skills
- Ability to manage and prioritize multiple tasks and deadlines
- Independent problem-solving
- Meticulous attention to detail
- Commitment to maintaining high standards of quality and presentation throughout the office environment.
- Excellent written, editing and proofreading skills
- Proficiency in Microsoft Office 365 – Word, Excel, and Power Point
- Familiarity with Microsoft Teams preferred, but not required
- Associate’s or Bachelor’s degree preferred, but not required
