As we continue to grow, Four Hands is searching for a highly organized Executive Assistant to provide high level support to our senior-level team. The Executive Assistant will play a pivotal role in ensuring diversified and highly confidential assignments are carried out with the utmost discretion.
In This Role
- Work directly with senior level leaders to support all aspects of daily work routine
- Own scheduling and calendar management for senior leaders; identify conflicts, priority shifts, and other changes, and effectively communicate with all impacted stakeholders
- Assist, track, prioritize, and ensure completion of day-to-day administrative tasks and projects assigned by leaders
- Determine methods and procedures for assignment completion within established guidelines
- Regularly access, organize, and maintain confidential company information
- Manage senior-leadership meetings which includes making meeting arrangements, documenting preparation, coordinating travel and meals, and other related activities
- Assist with scheduling; provide logistical and additional support for company-wide meetings and events
- Continuously identify opportunities to enhance processes and procedures; manage issues as they arise to improve service level and drive efficiencies
- Evaluate and interpret procedural and process related situations and recommend clear and logical solutions
- Prepare, reconcile, and process business invoices for payment

The Ideal Person
- Minimum 5 years’ experience as an Executive Assistant
- Associate degree or equivalent preferred
- Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems
- Excellent written and verbal communication skills
- Strong time-management skills and ability to prioritize, organize, and coordinate multiple projects at once
- Solid intuition with ability to anticipate needs and develop alternative solutions; comfortable challenging request that are unreasonable or inconsistent with an Executive Assistant role
- Superior judgment, professionalism, poise, and ability to maintain the highest level of discretion with sensitive and confidential information
