Pillar Media, home to STAR 99.1 NYC/NJ, STAR 93.3 Cincinnati, STAR 101.5 and KPOF and Positive HipHop 107.1 in Denver, is looking for the next individual to join our team. The position reports to the Pillar Media Executive Director.
Experience/What We're Looking For
Our ideal candidate is an experienced Executive Assistant with a proven track record of successful experience working cohesively with senior leadership and other team members. Someone who has the ability and passion to integrate their faith in Christ into their role, and who is a team player and works well with others; teamwork is one of our core values.
- Minimum of 3 years of experience working in an executive administrative/project management capacity.
- Radio, Media, or TV industry experience is desired.
- Project management experience with a proven ability to plan, organize, lead, and direct projects/events within timelines and budget.
- Experience monitoring and coordinating contracts and agreements.
- Excellent project management and leadership skills; excellent organizational skills and the ability to manage multiple projects under tight deadlines with good follow-through and follow-up.
- Strong attention to detail, proactive, efficient in multi-tasking, ability to take ownership of projects and see them to completion.
- Proven experience with problem-solving and analytical skills; strong time management skills; ability to manage multiple tasks independently and pay attention to details while keeping the big picture in mind.
- Strong written and verbal communication skills with the ability to develop collaborate relationships and partner with others. Adept at various working and communication styles.
- Must be at a high level of proficiency and competency in experience and knowledge of operating a computer; understanding how to navigate computer systems, as well as using programs like Microsoft Office (Word, Excel, Outlook, PowerPoint, Teams), One Drive, etc.
- Skilled in typing, grammar, and editing.
- Experience in working with finances.
- Mature emotional intelligence, including composure, handling tension/stress appropriately, and establishing rapport with others.
- Demonstrated ability to represent ministry and executive staff professionally and maintain confidentiality.
- Committed team player, passionate to assist others.
Responsibilities/Day-to-Day
The primary responsibilities as part of a multi-location and multi-person team are to support the Pillar Media Executive Director and the Director of Operations with a high degree of ethics, integrity, and confidentiality. You will be a vital strategic partner, leveraging creativity, organizational skills, and administrative expertise to propel the team forward. You will oversee a range of projects; managing timelines, delegations, and key initiatives.
- Perform duties of an Executive Assistant, including managing the Executive Director's calendar, handling reservations, tracking and assisting with projects, and expense reports.
- As needed, draft letters, projects, email responses for the Executive Director for his review.
- Serve as the primary administrative resource for the Executive Director, including, but not limited to, development of correspondence of both confidential and non-confidential matters, email and voicemail communication, and other general administrative functions as needed. This includes helping to book meetings, document meeting/discussion highlights, coordinate schedules, and handle a variety of meeting logistics.
- Oversee a range of projects, managing timelines, delegations, and key initiatives.
- Keep seasonal items on track.
- Anticipate opportunities and needs as much as possible.
- Conduct research, collect and analyze data, and prepare reports and documents as requested.
- Assist with meetings.
- Work with station leadership to create and execute annual budgets.
- Assist Executive Director in recognition of staff birthdays and anniversaries, raises, bonuses, and staff gifts, for all locations.
- Manage the Ninety software for EOS (Entrepreneurial Operating System); troubleshoot and make any needed changes and adjustments.
- Assist with personnel items as needed, including hires, reviews, and approving manager PTO requests on behalf of Executive Director.
- Assist Director of Operations as needed.
- Other items as needed to assist the Executive Director.
