The America's Consulting Organization is in search of a Executive Assistant that will work as an administrative specialist in support of our Consulting Services, Vice President of the Americas (Canada, LatAm, and US), reporting to the Program Management Leader of this role. This role will provide advanced administrative support and coordinate programs and/or projects. Assignments are varied, complex, and generally involve work of a highly critical and confidential nature requiring knowledge of the practices and procedures of the function, company products, management policies, and general business operations. This person will regularly exercise discretion and independent judgment in support of a Senior Executive. In addition, will set priorities and implement procedures. Responsibilities may vary as directed by the respective Senior Executive.
As an Executive Assistant, you will:
- Directly assists a Senior Executive, as well as key members of their leadership team, and executes under only general supervision special assignments and tasks. Independently performs administrative duties.
- Coordinates or assists in the administration of complex department/company programs, requiring in-depth knowledge of program; internal/external customer contact and detailed understanding of related policies and procedures; resolves problem issues.
- Acts as Executive's liaison; distributes appropriate information to, and continually communicates with, staff. Makes high-level contacts of a sensitive nature inside and outside the company.
- Screens calendar request, and possibly emails,responds to questions by gathering information from, or making requests of, other employees and/or vendors, customers, or the public.
- Administers Executive’s schedule by managing calendar appointments and making travel arrangements.
- Prepares social projects/programs of a complex nature and/or reports and works on problems of diverse scope, which may require analysis of information and evaluation of identifiable factors.
- Administers, updates, and maintains department applications; may assist in the design of new systems; maintains and updates documentation; runs and analyzes reports and resolves discrepancies; runs existing software applications; uses various software applications or packages and related hardware such as PC or workstation; may serve as a liaison with applications programmers.
- Composes and prepares documentation; may take dictation or notes, possibly of a technical nature. Prepares requests (e.g., for purchases, reproduction, checks, travel, and expenses).
- May train and supervise other administrative support staff and student employees on company policies and procedures, computer applications and basic office procedures.
- Responsible for coordinating general office duties including space planning, maintaining distribution lists, processing mail, shipping materials, filing, copying and faxing documents, ordering supplies and equipment, and arranging for equipment repair.
- Plan, organize, and manage meetings and events from start to finish, including scheduling, reserving necessary meeting space, ordering catering, planning dinners, developing the agenda/presentation decks, coordinating with presenters, etc.
- Provide assistance to Executive’s direct reports as needed, in support of the goals and priorities of the functional area.
- Acts as backup to other regional representatives in similar roles
- Work Location: Position is open to work in our Cary, NC office or our Toronto, ON Office
Required qualifications
- Education: Associate's degree in Secretarial Science, Business Administration, Administrative Office Technology, or related field
- 5 years of professional experience is required
- An equivalent combination of related education, training, and experience may be considered in place of the above qualifications.
- Excellent knowledge of office procedures and the ability to operate general office equipment and technology.
- Excellent problem solving, writing, interpersonal, communications, strong application experience with the full Microsoft 365 tools is preferred.
- Excellent project management and event planning skills
- High level of professionalism including the importance of confidentiality at senior levels of leadership
- Thorough knowledge of company operations, policies, and procedures
Preferred qualifications
- As this role supports a multi-regional team, an ideal candidate would also be bilingual (Spanish), but this is not required
- Knowledge of functional area of Consulting Services is preferred
