• Contract Duration: 6-months
• Worksite Location: St. Paul, MN
• Compensation: $30-33/hour

What you'll do as the Executive Assistant:

• Manage the calendars of two executives, scheduling meetings, calls, and appointments.
• Organize and maintain electronic calendars, manage phone calls and visitors, and prepare necessary documentation for meetings.
• Coordinate conference calls and WebEx meetings, providing email and calendar management support.
• Arrange domestic and international travel, including logistics, itineraries, flights, accommodations, and meetings.
• Provide administrative support for executive leadership meetings, including preparing agendas, distributing materials, and taking minutes.
• Prepare high-quality reports, presentations, and documents in Microsoft Word, PowerPoint, and Excel.
• Draft correspondence, agendas, presentations, and other documents with precision and attention to detail.
• Manage projects as assigned.
• Prepare expense reports for the executives.
• Make independent decisions on scheduling and prioritizing tasks for yourself, executives, and direct reports.
• Act as a liaison for internal and external stakeholders, including executive contacts and customers.
• Use the company e-billing system to process outside counsel invoices and assist with billing inquiries.

What you'll bring to the Executive Assistant role:

Minimum Qualifications:

• High School Diploma or equivalent
• 5 years of executive assistant experience
• Expert proficiency in Microsoft Office (Word, Excel, PowerPoint) and Outlook (email/calendar management)
• Strong organizational, project management, and multitasking skills
• Ability to manage multiple priorities with competing deadlines and minimal supervision
• Strong attention to confidentiality and professionalism with sensitive information

Preferred Qualifications:

• Bachelor’s Degree
• 2+ years of experience in a Fortune 500 company or corporate environment with 10,000+ employees
• 2+ years of legal secretary experience
• Exceptional communication skills, both verbal and written
• Experience supporting senior management and handling complex travel arrangements and logistics
• Ability to anticipate issues, show initiative, and work independently
• Strong interpersonal skills and a customer-focused, adaptable approach
