POSITION SUMMARY:
We are seeking a detail-oriented Executive Administrative Coordinator to join our team at our corporate office and production plant in Clarksville, TN. Your role will be pivotal in ensuring the smooth operation of our corporate office, supporting efficiency, sustainability, and social responsibility.
EXPERIENCE AND QUALIFICATIONS

Education/Experience: Candidates should possess an Associate's degree (A.A.) or equivalent from a two-year college or technical school; or have two to four years of related experience and/or training; or demonstrate an equivalent combination of education and experience.

Certificates/Licenses/Registrations: A valid driver's license and a clean driving record are required for this position.

International Travel Coordination: Knowledge in international travel coordination and visa regulations.

Technical Skills: Demonstrated competency in Microsoft Office Suite and familiarity with travel booking platforms.

Corporate Housing Management: Candidates should have knowledge of corporate housing management and lease negotiation processes.
Understanding of Vehicle Registration and Insurance Procedures: An understanding of vehicle registration and insurance procedures, including international requirements, is preferred. -
Previous Experience: Prior experience in administrative/executive support roles, particularly in multinational corporations, is highly desirable.

Language Skills: Bilingual proficiency in Italian or Spanish is strongly preferred.
- Must be willing and able to work 100% on-site at our corporate office in Clarksville, TN.
RESPONSIBILITIES:
- Administrative Support: Provide comprehensive support to the President, including managing correspondence, scheduling meetings, and handling inquiries with professionalism and efficiency.
- Calendar Management: Maintain and organize the President's calendar, scheduling appointments and coordinating meetings to ensure optimal use of time and resources.
- Travel Coordination: Facilitate travel arrangements for the President, visiting executives from the parent company, and other guests. This includes negotiating housing contracts, lease renewals, and procuring household goods and furniture. Ensure allowances are provided as needed.
- On-Call Availability: Be available during non-business hours for maintenance requests, emergencies, or procurement needs. This includes arranging technicians, expatriates, and executives' accommodations, scheduling cleaning crews, assigning company cars, handling guest arrangements, and managing car registrations, insurance, and driver licenses.
- Documentation Preparation: Prepare memorandums outlining and explaining administrative procedures and policies. Ensure accuracy and adherence to organizational standards.
- Interdepartmental Liaison: Collaborate with various departments to facilitate communication and streamline processes. This includes arranging flights, hotels, and transportation for technicians and out-of-state employees attending headquarters.
WORK ENVIRONMENT:
While performing the duties of this role, the employee will primarily work in a professional office environment within the corporate headquarters. However, occasional visits to production facilities may be required. The office environment is typically well-lit, climate-controlled, and equipped with standard office equipment.
PHYSICAL DEMANDS:
This role primarily involves sitting for extended periods, with occasional walking and standing. There may be some occasional lifting up to 20 lbs., carrying, and reaching required, particularly when handling office supplies or assisting with event preparations. The role also involves frequent use of computers and other office equipment, requiring repetitive arm/hand motions and prolonged gripping of items/tools.
While the majority of the work is conducted in a standard office environment, occasional visits to production facilities may involve exposure to moderate noise levels and environmental factors such as humidity and temperature fluctuations.
SALARY AND BENEFITS:
