Position: Executive Administrative Assistant to the CEO
The Executive Administrative Assistant will provide comprehensive support to ESG’s CEO, ensuring efficient use of their time to enable focus on strategic initiatives, revenue generation, and decision-making. This individual will handle executive calendar management, proactively prepare for key meetings, oversee video/conference calls, coordinate agendas, and track follow-up tasks. Core responsibilities also include arranging travel, coordinating logistics for executive team events, and liaising with external stakeholders on behalf of the CEO. In this role, you will collaborate closely with other administrative professionals, building trusted, strategic relationships at all organizational levels to support CEO initiatives.
Duties and Responsibilities
Administrative Support
- Manage CEO’s calendar proactively, ensuring all essential priorities are tracked and scheduled.
- Anticipate CEO needs and facilitate accomplishment of highest-priority tasks.
- Oversee CEO’s external relationship management and align communications within the organization.
- Prepare CEO for key internal and external meetings, handling necessary follow-up actions.
- Coordinate various assigned or ad-hoc projects, maintaining project plans, schedules, and status updates.
- Oversee CEO’s email, handling communication where appropriate to streamline workflow.
- Research and prepare pre-meeting briefs, identifying relevant news or developments about contacts the CEO is meeting with.
- Reconcile key accounts, examine monthly statements, and address discrepancies with vendors or internal finance as needed.
- Handle confidential and non-routine information with discretion, adhering to ESG’s high confidentiality standards.
Event and Travel Management
- Arrange and coordinate domestic travel, including flights, accommodations, and transportation, ensuring a smooth experience for the CEO.
- Coordinate logistics for in-person and virtual meetings, including ESG’s quarterly team gatherings in Washington, D.C. or other cities.
- Oversee logistical support for team gatherings, ensuring meeting space, food, and other details align with ESG standards.
Qualifications
The ideal candidate will have the following attributes:
- Proactive and Anticipatory: Always several steps ahead, proactively identifying CEO’s needs. Demonstrates a proactive approach to task management and problem-solving, prioritizing CEO time.
- Experienced and Confidentiality-Minded: 10-15 years of relevant experience, with a demonstrated history of managing executive responsibilities discreetly.
- Strong Communicator: Skilled in professional, high-stakes communication, both written and verbal. Able to represent the CEO professionally in all interactions.
- Organized and Results-Driven: Highly organized with exceptional time-management skills, balancing multiple tasks and deadlines with autonomy.
- Technologically Savvy: Comfortable using Microsoft Office, Google Workspace, and scheduling tools (e.g., Calendly). Experience managing email correspondence, drafting documents, and preparing presentations.
- Culturally Aligned and Flexible: Able to adapt to ESG’s diverse, mission-driven environment. Expected to work in-office during CEO presence, with flexibility to handle varying schedules.
Compensation and Benefits
- Salary Range: $85,000 - $105,000, with bonus potential.
- Comprehensive health insurance, flexible spending, disability coverage, parental leave, and retirement plan with a company match.
- Generous time off including vacation, sick leave, holidays, and three paid volunteer days annually.
- $1,500 stipend for home office setup, company-paid parking when on-site, and free access to an on-site gym.
- Paid holiday break from December 20 to January 2, with three weeks of paid vacation upon hire, increasing after three years.
- Three annual staff retreats in exciting cities, including an upcoming retreat in New Orleans, offering a chance to connect and unwind with colleagues.
Location
Based in Washington, D.C., the Executive Administrative Assistant will need to mirror the CEO’s in-office schedule and commute as needed. ESG’s office is located above the Friendship Heights Red Line station, ensuring easy access.
