Executive Administrative Assistant - Law Office of David P. Shapiro

We are seeking an experienced Executive Administrative Assistant to join our team at the Law Office of David P. Shapiro. As an Executive Administrative Assistant, you will provide high-level administrative support to our executive team and ensure the smooth operation of our office.

Responsibilities:

• Maintain executive calendars, schedule appointments, and coordinate meetings

• Manage travel arrangements and itineraries

• Prepare and edit correspondence, memos, and other documents

• Answer and direct phone calls, take messages, and handle inquiries

• Prepare and distribute meeting agendas and minutes

• Make travel arrangements and reservations

• Manage and maintain confidential files and documents

• Coordinate and schedule internal and external events and meetings

• Assist with project management and provide support for special projects as assigned

• Perform general office duties, such as ordering supplies and maintaining office equipment

Requirements

Requirements:

• Proven experience as an executive administrative assistant or in a similar role

• Excellent organizational and time management skills

• Strong attention to detail and problem-solving abilities

• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

• Excellent written and verbal communication skills

• Ability to handle confidential information with discretion

• Ability to prioritize and multitask in a fast-paced environment

• Professional and polished demeanor

• Strong interpersonal skills and ability to work well with all levels of staff

• Proactive and self-motivated

• Bachelor's degree preferred
