Executive Administrative Assistant - Reno Behavioral Healthcare Hospital

The Executive Administrative Assistant provides high-level independent administrative support to the Chief Executive Officer (CEO) in meeting external and internal organizational needs that would otherwise require the CEO's time.

• Manages extremely active calendar of appointments for the CEO.
• Assists with the MD calendar, coordinating meetings, drafting routine correspondence.
• Acts as department resource in answering questions or directing concerns to the appropriate person.
• Coordinates and attends meetings.
• Prepares agenda and minutes for scheduled meetings.
• Answers phone calls and screens calls for the CEO and sets up appointments as needed.
• Makes travel arrangements when needed.
• Assists other leadership as necessary.
• Resolves issues relevant to job functions, office procedures and work flow to ensure efficiency in the administration office.
• Manages special projects as designated by the CEO.
• Assists with MD credentialing.
• Helps organize and maintain legal documents.
• Manages contract authorization process.
• Organizes events as directed by the CEO.

Requirements

• Minimum two (2) years’ previous experience as an Executive Assistant
• Maintains confidentiality of employees and vendors at all times.
• Detail oriented with accurate data entry skills.
• Strong verbal and written communication.
• Proficiency with software and/or equipment (Microsoft Office applications including Outlook, Word, and Excel.)
• Strong organizational skills with ability to prioritize projects, work relatively independently, manage multiple tasks, and meet deadlines.
• Problem solving and decision-making skills.
• Ability to exercise good judgment in a variety of situations, many of which are confidential.
