Position Description.
The primary role of the Executive Administrative Assistant is to support the efforts of the General Manager and the Sensei Porcupine Creek leadership team to ensure guests at Sensei Porcupine Creek are provided the highest levels of personalized service before, during and after their stay. This role will assist the General Manager with all necessary administrative tasks and will also be the primary administrator and onsite planner for VIP’s, Repeat Guests, Media guests. The role will support the Director of Sales and Events with Travel Agent FAM trips while on-site, working closely with the General Manager to set-up and execute visits and experiences flawlessly. He or she will also support the property People Operations function. This role will demonstrate and reflect Sensei culture and philosophy in all interactions and in all facets of operations
Responsibilities.
- Attend all necessary meetings to keep minutes to distribute on behalf of the Executive Team.
- Support the Director of People Operations In all HR functions.
- Support Sensei Guest Recognition Program in collaboration with the Executive Team.
- Manage Guest History and Guest Recognition database with a great deal of attention to detail and discretion.
- Provide support to the Marketing and Sales Divisions assisting in the management of pre-arrival and post-arrival details for Media guests, Fam's and other VIP’s, such as accommodations, transportation, personalization of the room, special requests, appointments, reservations, events, and amenities
- Provide support to the Operations Division in all aspects of delivering exceptional service aligned with Sensei protocols and standards
- Support the guest gifting program by ensuring all guests get their planned gift, maintain the gifting inventories, and alert the Retail Lead when new orders need to be placed.
- Provide support to the General Manager and Marketing Division in project managing any property-related asset requests or special event production, including gathering requirements from local team, vendor management, running events and coordinating with HQ throughout the production or event
- Maintain all property printed materials and ensure re-orders are placed accordingly
- Maintain knowledge of all wellness, restaurant, tennis, golf, entertainment and other activities at Sensei Porcupine Creek and surrounding areas
- Ensure that all appropriate staff is adequately briefed on pertinent information regarding specialty arrivals and as directed by the Hotel Manager and/or the General Manager.
- Promote, communicate and document guest feedback and participate in ongoing improvement of processes and continuous development
- Manage guest related communications as directed by the General Manager, including drafting and sending correspondence to guest feedback.
- Manage the creation of gift certificates for donations, the property's participation In events and maintain awareness of local happenings.
- Lead by example with the ability to inspire and set clear expectations aligned with Sensei Culture and brand standards of guest experience and service guidelines
- Be familiar with the existing and emerging health and safety protocols associated with COVID-19 and how such events have impacted our business, guests, and employees
- Maintain and monitor execution and follow-through of agreed upon daily, weekly, monthly and quarterly communication meetings and resulting actions items and initiatives
- Maintain a strong unwavering commitment to ensure employees are well cared for in their daily work and that wellbeing activities and opportunities for growth are provided
- Any other duties as assigned by the General Manager

- Due to the intimate nature of the resort with limited number of guests on property, must assist teams laterally across all departments to lead a seamless guest flow throughout the different resort spaces

Requirements.
- College degree in a hospitality or related field preferred, or commensurate experience
- 2-3 years of experience in a luxury hotel environment preferred
- Excellent written, verbal and interpersonal communication skills
- Professional communication style and adept in business/technical writing
- Experience and skillset to create and produce PowerPoint presentations
- Event management and/or coordination a plus
- Excellent technology abilities in all Office applications such as Excel, Word, Power Point, Outlook and ability to quickly learn Asana, Slack and other applications such as booking systems.
- Must be able to quickly adapt and effectively use new technology as implemented in the operations at Sensei Porcupine Creek
- Ability to maintain poise and graciousness under pressure

- Must be dependable and self-motivated
Required Technical / Other Skills and Abilities.
