We are currently seeking a dedicated and professional Administrative Assistant to join our dynamic team in Newton, NJ. This full-time position is critical for ensuring effective and efficient operations across various departments, including Human Resources, Office Management, and Accounting. The ideal candidate will be a proactive multitasker with strong communication skills and proficiency in a wide range of administrative functions.
Job Overview
Essential Duties and Key Responsibilities:
Human Resources Duties:
Recruitment and Onboarding:
- Compose and post job vacancies; Screen incoming applications and resumes.
- Organize interview schedules, both virtually and in-office.
- Manage onboarding processes and new hire documentation.
- Conduct employee orientations and onboarding.
Employee Management:
- Maintain confidential employee records; Handle incident reports, FMLA requests, and termination paperwork.
- Administer employee insurance and benefits programs.
Office Management Responsibilities:
Administrative Oversight:
- Supervise the administrative functions of office staff.
- Manage telephone communications, directing calls as necessary.
- Develop and manage Excel spreadsheets for various purposes.
Facility Management:
- Monitor inventory of office supplies, equipment, and furniture.
- Coordinate with maintenance staff for office upkeep.
- Report office operational status or issues to management.
Scheduling and Support:
- Organize appointments and schedules using Microsoft Outlook.
- Coordinate travel arrangements as needed.
- Provide assistance to senior executives and board members.
Accounting Tasks:
Financial Organization:
- Maintain an effective filing system for financial documents.
- Oversee accounts payable and receivable; Manage purchasing of office supplies and equipment.
- Data and Invoice Management.
- Perform data entry tasks; Process and manage invoices.
- Verify and reconcile credit card statements and expenses.
Accounting Software and Payroll:
- Utilize QuickBooks for accounting-related tasks; Handle payroll processing and bank deposits.
Qualifications
5years of administrative experience utilizing Excel, Word, and other Microsoft Office software applications. Familiarity with QuickBooks and basic accounting principles a plus.
Exercise high level of confidentiality, self-assurance, and professionalism.
Strong organizational, administrative, and analytical skills.
Detail oriented, excellent written and verbal communication skills.
Be able to handle multiple tasks within a multiple entity environment.
Must be able to broaden your professional skills as the company continues to grow.
Must have a proactive, solution-oriented mindset.
Be able to perform at a high-level with minimal daily supervision.
Compensation & Benefits
- $65,000 annual salary
