Job Description
Union County is currently accepting applications for a full-time Executive Administrative Assistant. The position is responsible for providing highly confidential administrative support at an executive level to the County Commissioners and Chief Clerk/Administrator.
Pay Range: $17.88/hr - $19.41 (Depending on experience)
Job Responsibilities:
- Provides administrative support to the County Commissioners and the Chief Clerk/Administrator; screens telephone calls, mail, and e-mail messages and initiates appropriate action/response; records/relays messages or directs to other personnel/departments as appropriate; keeps Commissioners and Clerk informed of problems, messages, documentation, or other pertinent issues; composes, types, edits, or proofreads correspondence; maintains County files and records; provides assistance to other County staff as needed.
- Monitors all county social media outlets to include the county website and Facebook presence. Directs public questions to proper county personnel for response and follows up to ensure a response was made within county policy. Participates in the Technology Committee meetings with a focus on social media.
- Attends work sessions and board meetings; prepares meeting materials; sets up virtual access for public meetings and monitors access during public meetings; compiles, photocopies, organizes, and distributes agendas, minutes or other items; takes meeting minutes; participates in discussions; maintains all related documentation. Follows up with department officials on agenda items. Obtain signatures, copy, file, and distribute documents as needed.
- Maintains calendar for Commissioners, Chief Clerk/Administrator, and meeting rooms; schedules appointments, meetings, speaking engagements, or other activities; updates calendar on a regular basis and notifies parties involved of changes.
- Prepares public advertising for meetings, bid notices, etc.
- May assist other departments if directed.
- Coordinates and manages special events as assigned; coordinates projects with other departments, individuals; plans Holiday Parties, Appreciation Picnics, Swearing in Ceremonies, etc.
- Manages all telephone systems, maintenance and updates. Maintains and updates employee phone list, cell phone lists, etc. as they change.
- Monitors inventory of department equipment and supplies; ensures availability of adequate materials to conduct work activities; initiates orders for new/replacement materials.
- Serves as the courier between the Courthouse and Government Center on a daily basis. Delivers correspondence and other items to outside agencies as needed. Processes incoming/outgoing mail.
- Prepares or completes various forms, reports, correspondence, charts, spreadsheets, budget documentation, invoices, vouchers, financial reports, meeting minutes, meeting agenda, meeting packets or other documents.
- Receives various forms, reports, correspondence, logs, policies, procedures, directories, reference materials, invoices, reimbursement reports, quarterly grant reports, computer software manuals, grant manuals, directories, or other documentation; reviews, completes, proofreads, processes, forwards or retains as appropriate.
- Communicates with County Commissioners and Chief Clerk/Administrator, department heads, elected officials, County employees, vendors, the public, outside agencies, and other individuals as needed to coordinate work activities, review status of work, exchange information, or resolve problems.
- Operates a personal computer, general office equipment or other equipment as necessary to complete essential functions, to include the use of word processing, spreadsheet, database, or other system software.
Minimum Qualification:
- Three (3) year(s) of responsible experience in administrative support or related field or an Associate’s degree in Business, Public Administration or related field; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
Candidates must possess a valid driver’s license, complete a satisfactory pre-employment drug screen, and a criminal background investigation.
