The Role
The Executive Administrative Assistant will support our CEO and partner with the Senior Executive Assistant / Administrative Manager in managing activities related to Administration, IT, Insurance, and Facilities. This role will also ensure that organizational objectives are met and help develop and implement strategies aligned with these goals.

This person must understand the organization's policies and objectives and work towards driving results and completing projects. This position will be functionally responsible for duties across the organization and will champion processes, solutions, and execution.
Responsibilities Include, But Are Not Limited To
- Provide advanced, diversified, and confidential administrative support for key executives.
- Stay informed about company initiatives and duties, apprising the executive of issues when necessary.
- Initiate routine and non-routine correspondence and other written materials, either under the executive's signature or for their signature.
- Resolve routine and complex inquiries, referring inquiries to the appropriate person and ensuring timely and complete responses.
- Maintain the executive’s calendar, exercising discretion and judgment to prioritize and effectively use the executive’s time.
- Schedule and coordinate meetings, conferences, and special events, ensuring the executive is prepared by compiling data, statistics, and other necessary materials. Tailor approaches to unique situations and exercise sound judgment. Prepare special reports and summaries by synthesizing information from various sources.
- Coordinate complex travel arrangements for the executive, ensuring all necessary materials and files are gathered and the itinerary is prepared.
- Assist in managing the daily operations of the office and may assist in developing administrative goals and policies. Interpret requests, help implement action, and decide whether the executive should be notified of important or emergency matters. Prepare recommendations for addressing operational and administrative challenges.
- Manage a portion of the executive’s budget, monitor and reconcile accounts, and prepare financial or administrative reports.
- May coordinate clerical support, including recommending personnel actions related to clerical staff such as hiring, performance appraisals, and promotions; determine work priorities and schedule workflow to meet deadlines; ensure accuracy and timeliness of work.
- Manage special projects as directed by the executive.
Preferred Experience
- Bachelor's degree in Business Administration or 5-7 years of experience in a Senior Project Manager or Senior Administrative Management role.
- Experience in construction or a related field preferred.
- Ability to influence others through decision-making, negotiation, persuasion, problem-solving, and trust/credibility building.
- Strong technical problem-solving skills.
- Strong facilitation, issue resolution, and decision-making abilities across functions in a complex environment.
- Able to prioritize and complete projects on time.
- A desire to learn and continuously strive for improvement.
