Executive Administrative Assistant - Singer Equipment Company

Overview:

 

Support the President in executing division strategy and achieving divisional and company goals.  Duties will involve supporting the executive team, monitoring performance related to key performance indicators, preparing reports and tasks related to daily operation of the division.

 

***OFFICE BASED (Mon-Thu)***

***REMOTE (Fridays)***

 

Responsibilities:

Prepares agendas or presentations, attends meetings with the executive, and takes, transcribes, and distributes notes or minutes.  Prepares and submits expense reports on behalf of the senior leadership team.  Screens visitors, phone call, voice mails, and physical mail.  Maintains confidentiality of sensitive information. 

Partners with HR: to facilitate changes required in ADP, HAS, insurance, DOL required postings, paperwork related to promotions such as division announcements, organizational changes, org chart, job descriptions, etc., within the division.

 

Serves as point of contact for corporate groups such as Marketing, Safety & Training, including monitoring completion rates for time sensitive requirements, area events and training activities. 

 

Track and facilitate license renewals, DOT files/records, vehicle inspections, spare keys; act as Safety Compliance Contact with DOT. Point of contact for office related issues, FOBS, general care and upkeep, office supplies, maintenance, cleaning, etc.

Maintain Division / Corporate Engagement Calendar: trainings, events, meetings, etc.

 

Ideal Candidate Will Possess the Following Skills and Abilities:

Experience and Education

Performs work under normal supervision.  Handles complex issues and problems and refers only the most complex issue to higher-level staff.  Possesses comprehensive knowledge of subject matter.   May act as a lead or first-level supervisor. 

Typically requires 4 to 6 years of experience

 

**Must be a Notary Public**
