We are currently seeking a dynamic, detail-oriented, and organized Executive Administrative Assistant to join our team. This is a permanent, full-time position that offers a challenging and rewarding work environment. The selected candidate will be responsible for providing comprehensive, high-level administrative support to our senior management team, ensuring the smooth operation of our office. This role is perfect for a proactive, confident, and resourceful individual who thrives in a fast-paced environment, can juggle multiple tasks, and has a strong desire to learn and grow within the business.
**Responsibilities:**
1. Manage and maintain executive schedules, including planning and scheduling meetings, conferences, teleconferences, and travel arrangements.
2. Coordinate and manage special events, including logistics, invitations, venue coordination, and post-event evaluations.
3. Prepare and edit correspondence, communications, presentations, and other documents.
4. File and retrieve documents and reference materials.
5. Conduct research, collect and analyze data to prepare reports and documents.
6. Manage and maintain executives' schedules, appointments, and travel arrangements.
7. Arrange and coordinate meetings and events.
8. Record, transcribe and distribute minutes of meetings.
9. Monitor, screen, respond to and distribute incoming communications.
10. Interact with external clients and maintain a high level of professionalism.
11. Liaise with internal staff at all levels.
12. Coordinate project-based work.
13. Review operating practices and implement improvements where necessary.
14. Supervise, coach, and train lower-level staff.
**Qualifications:**
1. Minimum of 5 years of experience as an Executive Administrative Assistant or similar role. Experience in the insurance industry is a plus, but not required.
2. Proficient in MS Office Suite (Excel, Word, PowerPoint, Outlook).
3. Excellent calendar management skills, including the coordination of complex executive meetings.
4. Experience assisting management with the creation of PowerPoint presentations.
5. Strong knowledge of office procedures and basic accounting principles.
6. Proven ability to organize and prioritize tasks, and work under pressure.
7. Exceptional communication skills, both oral and written, with an ability to communicate with all levels of staff, stakeholders, and external contacts.
8. High level of discretion and confidentiality for both business and personal affairs.
9. Strong problem-solving skills and analytical abilities.
10. Excellent attention to detail and high level of accuracy.
11. Proven ability to manage projects, work under pressure, and meet deadlines.
12. Ability to work independently and as part of a team.
13. Experience making travel arrangements for management.
14. Ability to multitask and prioritize daily workload.
15. Demonstrated ability to supervise and train staff.
16. Excellent organizational and leadership skills.
17. Bachelor's degree or equivalent experience in Business Administration or related field is preferred.
