We are seeking a dynamic and self-motivated Executive Administrative Assistant to join our team in the Medical industry. This role will be pivotal in providing high-level administrative support to top executives including the CEO, CFO, COO, and Chief of Staff. This position requires a professional who is comfortable working in a fast-paced environment while managing multiple tasks and maintaining a high level of confidentiality. The ideal candidate will have a minimum of 3+ years of experience in a similar role and a strong background in the healthcare industry.
Responsibilities:
1. Provide comprehensive administrative support to C-level executives, including managing calendars, arranging meetings, and coordinating travel logistics.
2. Manage and maintain executive schedules, including scheduling travel and conferences, making appointments, and making changes to appointments.
3. Serve as a liaison between the executives and internal/external clients, ensuring smooth communication.
4. Prepare and edit correspondence, communications, presentations, and other documents.
5. Maintain a high level of confidentiality in all interactions.
6. Manage special projects assigned by the executives, ensuring they are completed in a timely and efficient manner.
7. Assist in preparing for board meetings and other executive events.
8. Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)
9. Assist with the preparation of business presentations including text, overheads, and electronic presentations.
10. Coordinate and manage health-related requirements for the team such as Covid Vaccination and Flu Vaccination.
Qualifications:
1. A minimum of 3+ years of experience as an Executive Assistant, Executive Administrative Assistant, or in a similar role.
2. Proficiency in Microsoft Office Suite (Excel, Outlook, PowerPoint) is required.
3. Experience with Epic EMR is a strong advantage.
4. Excellent organizational and time management skills.
5. Ability to multitask and prioritize tasks and maintain a professional appearance, demeanor and attitude among executives
6. Excellent interpersonal, written, and verbal communication skills.
7. High level of professionalism and confidentiality is crucial to this role.
8. Previous experience in the healthcare industry is highly desirable.
9. Proactive approach to problem-solving with strong decision-making skills.
10. Ability to work independently and as part of a team.
11. Must be able to meet deadlines in a fast-paced quickly changing environment.

13. Must have received or be willing to receive the Covid-19 and Flu vaccinations.
