About the Job
Our services client in the Telford area is looking for an Executive Admin on a Direct Hire basis. They are looking for a high-level Executive Administrator to organize and coordinate administration duties and office procedures. The role is to create and maintain a pleasant work environment and ensure high levels of organizational effectiveness, communication, support and safety.
- Salary = $65-75K based on education and experience
- Schedule = In office 7:30 to 4 or 8 to 4:30
- Dress Code = Business Casual
Duties and responsibilities include scheduling meetings and appointments, ordering supplies, greeting visitors, signing for and distributing packages, and providing general administrative support. Previous experience as an Office Manager or Executive Admin is preferred. A successful Executive Administrator should also have experience with a variety of office software (email tools, spreadsheets, and databases) and be able to handle administrative duties timely and accurately.
Ultimately, the Executive Administrator should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operations.
Responsibilities
• Serve as the point person for office manager duties including:
o Mailing
o Supplies
o Equipment
• Schedule meetings and appointments
• Organize the office layout and order stationery and equipment
• Maintain the office condition and arrange necessary repairs
• Organize office operations and procedures
• Coordinate with the IT department on all office equipment
• Provide general support to visitors
• Address employees' queries regarding office management issues (e.g. stationery, Hardware, and travel arrangements)
• Liaise with facility management vendors, including cleaning, catering, and security services
• Plan in-house or off-site activities, like parties, celebrations, and conferences
Requirements and skills
• Proven experience as an Office Manager and/or Executive Administrative
• Knowledge of Office Administrator responsibilities, systems, and procedures
• Proficiency in MS Office (MS Excel and MS Outlook, in particular)
• Hands-on experience with office machines (e.g. printers/copiers)
• Familiarities with email scheduling tools, like Email Scheduler
• Excellent time management skills and ability to multi-task and prioritize work and assertive mindset
• Attention to detail and problem-solving skills
• Excellent written and verbal communication skills and proven ability to be discrete
• Strong organizational and planning skills in a fast-paced environment
• A creative mind with the ability to suggest improvements/independent thinker
• High School degree; additional qualification as an Executive Administrative preferred
