The Executive Assistant & Office Manager will support the rhode CEO and President. The Executive Assistant acts as a liaison between the CEO, President, our internal team as well as external partners. The Executive Assistant will be responsible for a broad range of projects and administrative tasks including calendar management, preparing confidential correspondence in addition to office management/administration on behalf of the company and coordinating employee facing events.
Overview:
- Manage, organize, and maintain executives' calendars, meetings, and travel arrangements.
- Organize internal and external meetings, book rooms and catering.
- Read and route correspondence; draft responses and other documents as requested; assist with email management.
- Manage meeting preparation including maintaining meeting agendas, logging notes, setting up virtual meetings, and liaising with stakeholders as needed.
- Manage office snacks and supplies inventory and place orders as necessary.
- Identify opportunities for office processes and use improvements, and design and implement new systems.
- Maintain office efficiency by planning and implementing office systems, layouts, and equipment procurement.
- Organize data, produce, and update reports and presentations, for important stakeholder meetings, monthly updates and company All Hands.
- Prioritize conflicting needs; handling matters expeditiously, proactively, and following-through on projects to successful completion, often with deadline pressures.
- Maintain department organization charts and contact lists.
- Prepare submission of expense claims in a timely manner.
- Uphold a strict level of confidentiality, establish and maintain relationships both internal and external.
- Manage and follow-up on special projects as assigned.
- Partner with peers to plan and execute employee events.
- Other duties as assigned.
To be successful:
- Excellent computer skills, including the Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel)
- Organized with a strong attention to detail.
- Ability to maintain a high level of discretion and confidentiality.
- Proactive, self-starter mentality to act promptly with a sense of urgency.
- Excellent communication (written and verbal) and project management skills.
- Comfortable working in a cross-functional environment.
- Successful track record of working in a fast-paced environment.
- Enjoys problem solving.
Qualifications:
Education:
- BA or BS preferred
Work Experience:
- 3+ years experience as an office administrator or executive assistant.
- Proven track record supporting C-level executives.
- Proficiency formatting and editing presentations via Powerpoint and Google Slides.
- Experience with office coordination, stakeholder management, and event planning.
The annual salary for this position is between $75,000 - $85,000, depending on experience and other qualifications of the successful candidate. This role is based out of our headquarters in Los Angeles, CA.
