Events Project Manager
Type: Hybrid (3 Days WFH, 2 Days in office)
Location: Philadelphia
Reports to: CEO
Position Summary:
The Event Project Manager at HiTouch Enterprises is responsible for leading the successful execution of multiple client events. This role involves ensuring all projects align with HiTouch’s vision and meet client expectations. Reporting directly to the CEO, the Events Project Manager will play a pivotal role in both internal decision-making and client-facing operations. This position requires a dynamic leader with the ability to maintain strong operational oversight of more than 5 events simultaneously.
Key Responsibilities:
- Team Collaboration & Project Management: Lead meetings and workflows for Administration and Marketing Teams, providing direction and support to ensure the successful completion of events under your management.
- Collaboration with the CEO: Work closely with the CEO to align the company's event strategy with HiTouch’s business goals. The CEO will focus on growing the business portfolio and providing strategic input on event logistics.
- Client Operations: Oversee the day-to-day management of assigned client projects, ensuring that timelines are met and deliverables are on track.
- Client Relations: Build and maintain strong relationships with clients, attending all meetings, creating agendas, and developing actionable follow-up plans.
- Team Collaboration: Delegate tasks to team members and manage workloads using Hubspot, ClickUp, Google Sheets and/or other project management tools to ensure deliverables are met.
- Process Improvement: Propose and implement new ideas to improve planning and execution processes, always aiming to exceed client expectations.
- Event Oversight: Create and manage detailed timelines and run-of-show documents for all client events, ensuring proper staffing through coordination with the Event Staffing Manager.
- Budget Management: Monitor project finances, ensuring timely payments to vendors and subcontractors, and maintain accountability for project budgets.
- Client and Event Strategy: Focus on achieving fundraising, attendance, and marketing goals for all client events, ensuring client expectations are exceeded.
- Event Execution: Attend all client events where you are the designated Project Manager.
Qualifications:
- Education:
- Bachelor’s degree in Marketing, Communications, Business, Hospitality, or related field.
- Experience:
- 4 years of experience in event production
- Proven track record of working on successful large-scale events.
- Skills:
- Strong leadership and team management abilities.
- Strategic thinker with expertise in creating and executing event plans.
- Excellent communication and client relationship management.
- Proficiency in project management tools
- Experience with budget management and delivering projects on time and within scope.
- Setting and meeting project deadlines.
Technical Skills:
- Knowledge of CRM software platforms.
- Proficient in Google Office Suite to include google sheets, google docs, google drive and google forms.
- Familiarity with event management tools
- Ability to prompt ChatGPT and OpenAI sources
Industry Knowledge:
- Understanding of event production trends.
- Knowledge of key political figures in Philadelphia.
- Knowledge of top corporations in Greater Philadelphia Region
