About the Job
The Events Manager plans and implements Intelisys customer, vendor, and sales events by performing the following duties.
Essential Job Duties:
- Work proactively with event managers to help them understand their role, develop ideas/skills, create budgets, and manage timelines
- Manages planning and execution of full range of events, including large, high visibility events
- Lead on regional & local Intelisys events
- Work with marketing leaders to develop package plans related to event components that will span calendar/package year
- Research lead on new virtual event platforms and in-person event locations
- Research lead on new event options for activities and incentives
- Manage and maintain an updated list of event options that will be published internally on a regular cadence
- Works with internal marcomm team to co manage pre- and post-show marketing of events
- Event planning includes but is not limited to contract negotiation, creative development, logistical coordination of on-site needs (audiovisual, setup, food and beverage), registration management, and database management
- Research and recommend event locations through our procurement process & external resources
- Act as single point of contact with internal & external stakeholders and hotel representatives for all programs (unless otherwise designated)
- Troubleshoot all related event issues to resolution
- Manages production and purchasing for events through various external and internal resources.
- Creates & nurtures external relationships with various vendors
- create RFPs working with your team and internal stakeholders
- Manage and analyze budgets per program, per event
- Reconciles budgets with final approval of director;
- Ability to perform numerical calculations and advanced understanding and ability to work with numbers and calculations in order to solve problems and/or accomplish a task
- Incorporates strategic initiatives and objectives into actionable plans
- Applies industry and corporate knowledge to quality control on event marketing communications
- Manages communications with appropriate amount of analysis
- Manage recruitment of onsite staff including scheduling and onsite supervision
- Manages and coordinates all event communications with final approval from team director
- Act as single point of contact with internal & external stakeholders and hotel representatives for all programs (unless otherwise designated)
- Research and recommend event locations through our procurement process
- Oversee all event logistics to ensure successful execution or projects
- Supervise incentive planning and management of both domestic and international programs
- Work closely with the registration platform to ensure all registration requirements are met for each of the guests
- Communicate any registration requirements/needs to venues & applicable vendors
- Monitor timely invoicing as it relates to client contracts, working with the accounting team or finance manager
- Ensure all documents are processed correctly and signed off in a timely manner
- Troubleshoot all related client issues to resolution
- Regular attendance is an essential function of the Event Manager position
- Other duties as assigned
Reporting Relationships:
- Reports to Director of Events
- Supports Sales team & Supplier Services team
- Contact with vendors, customers, suppliers, co-workers, and executive management
Requirements:
- High school diploma required
- 2 or more years event planning experience
- Proficiency in Microsoft Word, Excel & MS Teams
- Proficiency in CVent or similar event invite platform
Preferred:
- Experience with GoTo Webinar
- College degree in marketing
- Proficiency in foreign language (Spanish, Portuguese, French, German)
- Virtual event planning and execution
Physical Requirements:
- Ability to sit or stand at a computer terminal for long periods of time.
- Ability to work in a hybrid environment, combining remote and in-office attendance designated for this position.
- Ability to travel up to 40% of the time
- Ability to lift up to 30 pounds. Physical lifting and moving of boxes and show materials
Compensation:
Compensation Range: $65,000 - $70,000
Actual annual salary offered to a candidate will be based on a number of variables including work experience, education and skills/ achievements, and will be mutually agreed upon at the time of offer. This position is not eligible for a variable pay component as part of the hiring range.
