Position Overview:
The event planner/manager is responsible for planning and organizing events including conferences and seminars, tradeshows, golf tournaments, and a variety of other special events for multiple nonprofit professional societies and trade associations.
Role:
- Relationship building with key stakeholders.
- Represent and deliver service excellence that is in keeping with the client's brand.
- Maintain event playbook and adhere to the system that enables and anticipates long-term planning and effective event management for the organization's meetings, conferences and events.
- Identify all aspects of event risk assessment and crisis management planning strategies.
- Work closely with event planning committees to define event goals, objectives and specific implementation plans.
- Work with event committees to develop brand/theme, marketing materials and tools for events as required.
- Determine financial requirements and assist with preparation of event budgets.
- Negotiate agreements with outside providers and subcontractors to ensure greatest value.
- Establish communication protocols and operating procedures with planning committees, subcontractors and program staff.
- Source venues, recommend and engage catering, acquire supporting technology and coordinate development of materials to execute a quality event.
- Work closely with the association executive, account manager, board directors, committee members and communications staff to effectively promote events to target audiences and track results of outreach.
- Work closely with the association executive, account manager, board of directors and committee members on sponsorship arrangements and identify potential revenue streams for all events.
- Oversee air and ground travel arrangements.
- Establish staff schedules, task assignments, and equipment allocation.
- Oversee and produce event communications.
- Conduct outreach to potential sponsors and solicit participation in all events.
- Develop and oversee event registration processes.
- Oversee purchasing with regard to catering, audiovisual, security and rental needs for events.
- Facilitate preparation of event programs and confirm all necessary preparations are in order.
- Ensure speakers logistics are covered in advance of the event, secure speaker contracts, negotiate contracts.
- Ensure speakers are briefed and prepared to provide effective presentations and materials.
- Supervise, direct and coordinate the activities of CMP event team, board volunteers, subcontractors and vendors as required to successfully execute all aspects of the event on the scheduled delivery day.
- Trouble-shoot and smooth issues relating to the successful execution of the event.
- Conduct/participate in post-event debriefing sessions.
- Develop and execute all necessary follow-up with subcontractors, sponsors, attendees, board members, etc.
- Provide post-event analysis, budget recaps and participant feedback and incorporate learning into future event plans.
- Develop event reports and distribute as required to event participants, board members and CMP staff.
Position Requirements:
- 3 years' experience in event management or related field is preferred
- Ability to develop professional relationships in all aspects of the position that result in stable, consistent, reliable, and courteous communication when dealing with other organizations
- Ability to problem solve and work independently in changing and multi-tasking environment with numerous deadlines
- Excellent organizational, planning and project management skills
- Proven ability to take direction and input and to develop effective and engaging branded events that will achieve the associations' goals
- Demonstrated ability to prepare budgets and effectively manage expenses
- Ability to present and pitch ideas effectively to management team (both internal and external)
- Excellent written and verbal communication skills
- Demonstrated ability for accuracy and thoroughness
- Solid business acumen, management and problem-solving skills
- Strong computer skills, especially Microsoft Office (Outlook, Word, Excel, PowerPoint/Prezi), event registration management platforms, and Association management software
- Effective time management, organizational, and leadership skills
- Familiarity with CRM/AMS software systems and practices
- Ability to adapt/respond to various customer personas
- Goal oriented and strives to learn and grown on a daily basis
- Ability to receive and immediately apply constructive feedback
- Reliable transportation is required
- Ability to travel is required
- Ability to work some evenings and weekends required

Education:
- University degree in hospitality, business, marketing or related field preferred
