We are seeking a motivated and energetic Event Coordinator to join our team. In this role, your main responsibility will be assisting in the planning and originating events and classes for BDR with a focus on Proft Launch.
Work Hours: 7:00 am - 4:00 pm, Monday through Friday, OT when necessary
Location: Hybrid or Remote
Compensation: The starting pay for this position ranges from $24.50 to $26.00 per hour, depending on experience. Over time, this role has the potential to earn up to $34.00 per hour based on tenure, performance, and experience.

Primary Job Function:
- Respond to all client inquiries for Profit Launch and assist with BDR University events.
- Receive and process registrations for Profit Launch and assist with BDRU class registrations.
- Create and send welcome packets for & Profit Launch and assist with BDRU event attendees as needed.
- Communicate with dealers and distributors regarding available classes, class dates, etc.
- Monitor event timelines to ensure all deadlines are met for event preparation, execution, and follow up including but not limited to working with the venue on room layout and estimated number of guests by the deadline set by the venue.
- Order supplies for the event ensuring enough time for delivery, printing, and shipping as needed.
- Send out reminder emails to clients leading up to the event.
- Assist clients with questions regarding on-site events and vendor showcases.
- Update processes and procedures for Profit Launch specific tasks as they change and assist with BDRU, as necessary.
- Create name tags, table tents, certificates, seating charts, breakout groups, daily schedules, sign-in sheets, and gift bags for the event.
- Maintain inventory of training materials, props, and collateral.
- Load event supplies, transport to the event location, and set up events.
- Tear down events, store materials at the hotel (if applicable), and transport materials back to BDR as needed.
- Track attendance at the event.
- Order maps used for the class as needed.
- Plan any dinner outings or vendor trade shows that correspond with the event.
- Attend BDR events as directed.
- Coordinate IT requirements with venues.
- Track breakfast and lunch counts and relay info to the Training Manager for reconciliation with final billing.
- Track shuttle charges and who has paid with cash and cards to provide to the Controller for reconciliation with final billing.
- Maintain inventory of backdrops, display materials, and general class supplies.
- Coordinate and assist with packing the materials and shipping for the events.
- Create and update inventory checklists, set up checklists, book shipping checklists, and other BDRU & Profit Launch event materials as directed.
- Maintain a strong working knowledge of the company and upcoming workshops.
- Manage, execute, and serve as key contact from start through debrief process for each BDRU & Profit Launch event including, but not limited to: set up, welcoming guests, maintenance, tear down, meals, organizing vendors, entertainment, trainer assistance, hotel needs, client needs, attending related client events.
- Moderate and support virtual events.
