Position Summary:
We are seeking a highly organized and driven Events Coordinator to join our team. In this role, you will take full ownership of planning and executing in-person and virtual events, ensuring each one is memorable, seamless, and impactful. You’ll be responsible for managing event-related materials, timelines, and communication while collaborating with internal teams and external stakeholders to ensure success. The ideal candidate is a self-starter who thrives on managing multiple priorities, loves creating structure, and is proactive in solving challenges creatively. Responsibilities include:
- Event Planning & Execution: Lead the planning, execution, and follow-up for in-person industry events, taking ownership of all event logistics and ensuring every detail is covered.
- Marketing Materials & Communications: Develop and manage event-related marketing materials, including lists, invitations, and communications pre- and post-event.
- Webinar Management: Coordinate all aspects of webinar planning, including scheduling, logistics, content coordination, speaker preparation, and promotional efforts.
- Virtual Roundtable Management: Handle the coordination and execution of virtual roundtables, managing scheduling, logistics, invitation distribution, and host selection.
- Sales Kick-Off Coordination: Oversee the planning and management of the annual Stratix Sales Kick-Off Meeting, ensuring flawless execution.
- Stakeholder Alignment: Work closely with internal teams and external vendors to ensure events align with the overall business goals and objectives.
- On-the-Fly Problem Solving: Anticipate challenges before they arise and handle any unforeseen issues with creative, quick thinking.
- Post-Event Reporting: Track, measure, and report on event outcomes, analyzing key metrics to assess the success of each event and make recommendations for future improvements.
Requirements:
- Minimum of 3 years of event planning experience, preferably within technology, IT services, or SaaS sectors.
- Experience leading and motivating teams to deliver successful events, aligned with shared goals.
- Proven track record of managing both live and virtual events from start to finish.
- Strong skills in managing timelines, deliverables, dependencies, and ensuring clear communication across teams.
- Ability to track event metrics and deliver insights to improve future event performance.
- Excellent written, verbal, presentation, and interpersonal skills, comfortable presenting plans and strategies to both internal and external stakeholders.
- Experience with virtual event tools and platforms.
