Pay rate: $24 - $26 per hour, depending on experience
The Event Coordinator is responsible for completing detailed assignments in the successful planning and implementation of in-person, digital, and hybrid, and face-to-face meetings and events for LSAC. Supporting the Events Team, this position will be involved in events of a variety of formats, types, and sizes, including but not limited to Law School Forums, the Annual Meeting, and board and committee meetings. The Event Coordinator must be able to multitask, establish priorities, and work independently in an energetic, fast-paced digital environment. Must possess a strong sense of responsibility, accountability, professionalism, independent judgement, self-confidence and be detail-oriented.

- Maintains registration websites and attendee lists, rooming list management, using Cvent registration software, Zoom, or LSAC’s proprietary system.
- Communicates regularly with attendees and members both verbally and in writing.
- Answers and fields phone calls for all events for customer service support with registration processes.
- Collects speaker names and contact information from work group members for events.
- Sends invitations to speakers, assists speakers with the submission of session titles, descriptions, content-related materials, biographies, and alerts team and/or following up when information is not received in a timely manner.
- Reviews presentations received for general errors, like typos and branding issues.
- Creates materials for events, including PowerPoint presentations, event agendas, surveys, word clouds, and other logistical information, with content provided by the Director of Events or subject matter experts.
- Works with Mail Center to have materials reproduced as necessary.
- Works with Marketing Team to create materials beyond the scope of the Events Team.
- Creates checklists for each event based on previous events, and ensures that everyone is staying on task.
- Runs listening sessions and other small digital meetings independently in Zoom.
- Provides support to the Senior Event Production Coordinator for webinars in Zoom.
- Provides onsite event support at designated events.
- Works in conjunction with Events Managers and with LSAC Mail Center staff to organize, prepare, pack, track, unpack, and manage shipments for off-site events that the Events Team is responsible for (including large and small events).
- Monitors email boxes for the Events Team.
- Performs administrative activities that require initiative and independent judgment after an initial briefing, such as drafting correspondence and completing special projects within specified timetables.
- Creates own schedules and timelines for recurring tasks.
- Shows initiative with producing solutions to save time for team members or customers.
- Ensures accuracy of booth assignments for tradeshows in registration system and digital tradeshow platforms, and updates exhibitor attendance documents online in Druple and other designated places.
- Updates reports and statistics with historical and comparison data for tradeshows and meetings within two weeks of the meeting.
- Completes purchase requisitions and processes bills by having vendors set up in NetSuite, coordinating vendor EFT information, getting the appropriate signatures through AdobeSign
- Tracks team expenses at budget time, and assists Director of Events with budget submission.
- Ensures accuracy of all calendaring for the subboundry, including LSAC’s Master Calendar of Events and Departmental Calendar.
Competencies
- Strong Microsoft Office suite skills—Word, Excel, PowerPoint, and Outlook.
- Strong knowledge of Zoom or similar video communications platform.
- Strong problem-solving skills.
- Excellent organizational skills with attention to detail and the ability to follow through and complete projects.
- Ability to accurately proofread grammar, spelling, and vocabulary.
- Ability and willingness to work both independently and as part of a team, while following Events Team standard operating procedures. Must operate on a dependable schedule.
- Excellent interpersonal, written, and verbal skills. Professional demeanor when interacting with others.
- Positive attitude with the ability to gracefully handle last-minute tasks under pressure.
- Desire to acquire a Certified Meeting Professional designation (CMP).

Education and Experience
- High school diploma or equivalent.
- Minimum of one year’s experience with the Events industry.
- Minimum of one year’s experience with Zoom or other digital event platform.
- On-site/field experience in supporting events.
- Minimum of two years’ experience in an office environment or a degree in hospitality.
- College degree and/or previous experience in event management preferred.
Supervisory Responsibilities
- This role does not have people management responsibilities.
Position Type
- This role is a full-time position with a standard 37.5 hour workweek of Monday through Friday, 8:30 a.m. to 4:45 p.m. ET. The position may require overtime or weekend work.
Work Environment
- This job requires 3-4 days a week at LSAC’s headquarters in Newtown, PA. This role routinely uses standard office equipment such as computers, phones, and copiers.
Travel Requirements
- Up to 15% of travel is required for this position.
Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
- While performing the duties of this job, the employee is regularly required to write, hear, speak and present materials.
- Employee must be able to lift up to 25 pounds while preparing supplies for events.
- Employee must be able to perform repetitive motions (i.e., stuffing packets, ripping and separating name badges) on a regular basis.
