L.A. LIVE is a vibrant 4 million square foot entertainment destination located in the heart of downtown Los Angeles. Job Summary:
The Event Services Coordinator will assist in planning and executing events for the clients and/or tenants of L.A. Live (Peacock Place, Chick Hearn Ct., Event Deck, and any other venue determined by management). This position is expected to coordinate assigned event details including budget preparation, event codes, MOD calendars, etc.
Essential Functions:
- Create and/or manage event codes, event calendar, AMR calendar, Alcohol Notification letter, MOD calendar, meeting notes, parking validations, and other duties as assigned.
- Provide support and coordination to meet the expectations of event, production, and the Event Services team by gathering and creating event estimates, coordinating necessary permits/street closures, gathering final invoices for settlement, and any other support and coordination that is needed
- Work closely with Event Managers on projects pertaining to event production including constantly updating event files/folders for events, assisting with load in and load out when necessary, and working with Global Partnerships on activations taking place at L.A. Live as it pertains to both event and dark days.
- Implement and enforce facility rules, regulations, policies and procedures.
- Prepare and distribute detailed production notes for assigned event and schedule production meetings with the venue department entities as needed.
- Create, maintain and organize event share folders and files, which include all pertinent event information.
- Anticipate production, logistical and operational obstacles and appropriate solutions.
Required Qualifications:
- Education: High School Diploma or its equivalency (BA/BS Degree Preferred)
- Experience: 2-4 years of related work experience (Event planning or special events, preferably sporting events, concerts and event production)
- Intermediate working knowledge of MS Office Suite (Teams, Word, Excel, PowerPoint, and Access) with the ability to learn required business systems
- Outstanding customer service and interpersonal communication skills; comfortable with engaging in a variety of different communicative modes (verbal, non-verbal, and written) and being attuned to others through strong active listening skills
- Ability to identify problems, their sources, and potential solutions while continuing to successfully conduct day-to-day operations without interruption
- Self-directed with ability to prioritize, work reliably, independently as well as with a team
- Extremely well organized and detail oriented, even when under pressure
- Ability to maintain confidentiality and use upmost discretion when privy to sensitive information
- Good decision-making skills, solid judgment, and interpersonal effectiveness
- Must have a flexible schedule, with ability to work nights, weekends, and holidays when necessary
Pay Scale: $24.50 - $27.00
