Job Description:Coordinate and execute all marketing and group sales promotions. Handles all administrative duties as required by Bob’s Steak & Chop House
Responsibilities:- Schedules work load to meet deadlines of all managers.
- Answers all phone calls prior to hostess arriving and takes reservations, private and semi-private events, and any questions pertaining to the restaurant.
- Answers all emails in a timely manner.
- Uses Birchstreet Ordering System to create PO’s and order various items (i.e. office supplies)
- Deliver PO’s and other paper work to the Accounting Department and other departments in the hotel.
- Complete all reservations with detailed information in Open Table.
- Maintain all schedules, sheets, and floor plans in Open Table, generate reports as needed and serves as trouble shooter and primary contact with Open Table administrator.
- Refers business to other Bob’s locations when unable to book.
- Updates, maintains and prints Bob’s Dinner, Bar, Dessert, and Wine Menu including all pricing information.
- Update and maintain Concierge Referral Program.
- Markets and develops relationships with other hotel and corporate concierge staff
- Attend all daily, weekly, and monthly meetings that require your attendance including but not limited to, Daily Stand-Up, Group Resume, Weekly Manager Meeting, and All Manager Meeting’s.
- Attend all monthly Supervisor Training.
- Schedule all Private, Semi-Private, and large reservations.
- Create all menus, BEOs and contracts for Private, Semi-Private, and any large reservations. Be as detailed as possible.
- Conducts tours of the restaurant and hotel as needed for potential large groups
- Mail all thank you cards and gift certificates in a timely manner.
- Maintain all contact files with past clients.
- Have detailed knowledge of all special events and promotions scheduled.
- Research all large conventions or groups that are staying at the Hotel.
- Be familiar with the Delphi Program used by sales to research groups in the hotel, their meal plans, and the occupancy levels of the Hotel.
- Create Daily Feature Sheets and have the sheet posted in front of the Restaurant by Noon everyday.
- Created Server Feature Sheets and Hotel Forecast Sheets every day before each server stand-up meeting.
- Have a complete understanding of the Ibahn System in the Hotel Guest Rooms.
- Performs other duties as assigned by management (assist in department training and paperwork as needed, book private parties, group buy-outs and assist with creating and maintaining all BEO Contracts).
- Types and distribute all correspondence, including booking notices, letters, contracts, etc. For assigned managers. Ensures that all correspondence is 100% accurate.
- Maintain all employee files in an organized manner.
- Maintain all restaurant and manager files as needed.
- Assist with Hosting Shifts as needed.
- Create and deliver any promotional material for Bob’s Steak & Chop House-Lamar.
- Maintains account files and ensures that all information is included in file, i.e. post convention reports, letters, fax information, etc.
- Coordinated general office functions.
- Checks restaurants voicemail daily and ensures that all managers receive messages in a timely manner.
- Performs other duties as assigned by management.
- 2+ years of experience in a restaurant, hotel, or hospitality sales environment.
- 3+ years of administrative experience.
- Proficient in Microsoft & Excel office programs.
- Positive, outgoing personality with good communication and analytical skills.
- Organized.
- Commercially focused restaurant group sales experience is a plus.
