We are not your typical small law firm. Our entrepreneurial law firm is poised for aggressive growth, and we're looking for a receptionist who can hit the ground running to give callers and visitors an outstanding customer service experience.
Our Receptionist will build relationships with people who contact our firm looking for help with a legal or personal crisis. Success in this position requires that you display a combination of empathy, experience, and skill. You will play an integral role in creating memorable experiences for clients and everyone else who contacts our firm.
Responsibilities•Receive and direct clients and visitors via phone and in person
•Scan and distribute incoming mail
•Print legal documents and gather handouts in preparation for client meetings; assist with scanning while client meetings are in progress. Preparing ahead of each meeting is a must!
•Office errands as needed
•Handle all client scheduling
•Process credit card payments
•Provide general secretarial service and generally support other legal assistants, paralegals, attorneys, and receptionists in the firm.
•Track all time in Clio
•Ordering all office supplies (once approved by the office manager)
•Assist & attend offsite marketing events with Client Solution Coordinator and Marketing Assistant
•Assist with marketing event coordination
•Back up for voicemail@, info@, and fax@ email account management
•Client documentation organization - this role is responsible for ensuring that all client folders are kept up-to-date, and are tidy, manageable, and always in the correct location
•Responsible for closing out all client files once client matter is completed - following the process set up by the company
•Manage Attorneys' time - let the attorney know when it is 10 minutes before the end of the meeting and when the time is up for client consult/design/review or signings... for time management purposes
•Keep forward-looking calendars for the attorney on-site - if there are conflicts work to resolve them with the intake coordinator
