Position Overview:
We are seeking an experienced and detail-oriented Estate Administration Paralegal to join our legal team. The successful candidate will be responsible for assisting with the administration of estates, ensuring compliance with legal requirements, and providing exceptional support to attorneys and clients during the probate process. This position requires strong organizational skills, the ability to manage multiple tasks simultaneously, and a solid understanding of estate planning and probate law.
Key Responsibilities:
Estate Administration: Assist in the administration of decedent estates from beginning to end, including preparing and filing necessary probate documents, obtaining court approval for estate-related actions, and managing estate assets.
Document Preparation: Prepare and draft probate forms, petitions, inventories, accounting reports, notices to beneficiaries, and other related documents in accordance with state and federal laws.
Court Filings and Deadlines: File documents with the court and ensure that all filing deadlines are met, including notices of hearings, inventory filings, and tax filings.
Asset Management: Assist in identifying, collecting, and valuing estate assets, including real property, bank accounts, investments, and personal property.
Communication: Serve as a liaison between clients, beneficiaries, financial institutions, and government agencies. Maintain professional communication regarding the status of probate matters.
Tax Filings and Compliance: Assist with the preparation of estate tax returns (including federal and state estate tax filings) and ensure compliance with tax regulations.
Accountings and Distributions: Assist attorneys with the preparation of estate accountings and distributions to beneficiaries. Ensure that all distributions comply with the terms of the will or trust and applicable law.
Legal Research: Conduct legal research related to estate administration and probate law as needed.
Client Interaction: Provide clients with regular updates on the progress of the estate administration, answer client questions, and offer support throughout the process.
File Management: Maintain organized case files and documentation, ensuring that all relevant materials are filed properly and accessible.
Qualifications:
Associate’s degree or equivalent work experience in Paralegal Studies; Bachelor’s degree a plus.
Paralegal certification preferred (e.g., NALA, NFPA, or other recognized certification).
Minimum of [X] years of experience in estate administration, probate, or trust administration.
Strong knowledge of probate court procedures, estate tax regulations, and fiduciary duties.
Excellent written and verbal communication skills, with the ability to interact professionally with clients, attorneys, and other stakeholders.
High level of attention to detail and organizational skills.
Ability to manage competing priorities and work efficiently under deadlines.
Proficient in Microsoft Office Suite and legal research tools (LexisNexis, Westlaw, etc.).
Familiarity with case management software and e-filing systems is preferred.
